Medical Secretary / Team Leader – Obstetrics and Gynaecology
Band 4 – Permanent, Full time (37.5 hours per week). Job reference: 438‑PB4107‑B.
Site: Royal Preston Hospital, Town Preston. Salary: £28,392 – £31,157 per annum pro‑rata (Yearly). Closing date: 16/06/2026 23:59.
Job Overview
You will be the lead Medical Secretary for the Obstetrics and Gynaecology Department, supporting senior consultants and the clinical team, managing the secretarial support staff, and ensuring high‑quality administrative service for patients and clinicians.
Key Responsibilities
* Develop and maintain effective working relationships with clinicians, managers and other staff within the Women’s and Children’s Division and the wider Trust.
* Act as the primary point of contact for non‑routine enquiries, facilitating communication, and resolving issues.
* Provide administrative and secretarial support to consultants, including preparation for clinics and ‘first‑point‑of‑contact’ for patients and clinicians.
* Day‑to‑day management and training of secretarial and admin support staff.
* Undertake core medical secretarial duties: collation of papers, downloading of clinic letters from the T‑PRO system, typing results and other clinical correspondence, filing of reports and results.
* Action results for cancer patients, ensuring medical and nurse specialists are notified.
* Support MDT meetings with minute taking and collation of patient notes.
* Manage waiting lists for the Division and coordinate staffing rotas for the secretarial team.
* Lead the secretarial/admin team to maintain high quality, service efficiency and effectiveness, including annual appraisals, CPD, training and reviews.
* Promote team identity, positive working conditions and professional standards in line with IG, national standards and legal requirements.
* Assist in recruitment and selection, sickness absence reporting, and health roster monitoring.
* Contribute to service review processes and promote best practice implementation.
Qualifications & Education
* GCSE Grade C or above in English and Maths or equivalent.
* Relevant in‑house training: Attendance Management, Appraisal Training, DSE, Risk Assessment.
* Core people management skills, ILM Level 3, ECDL.
Knowledge and Experience
* Effective teamwork and knowledge of NHS policies, national targets (e.g., 2‑week and 18‑week rules).
* Experience working in a busy environment with the ability to change priorities to meet deadlines.
* Evidence of service development and innovation.
* Proficient in Microsoft Office (Word, Excel, PowerPoint, e‑mail). Working knowledge of Trust IT systems and audio typing experience.
* Advanced knowledge of medical terminology.
* Experience of minute taking and previous medical secretary experience.
* Experience of staff management and supervision.
