Job Title: Guest Services

Reporting to: Guest Services Manager

Hours: 40 hours a week, Monday to Friday

Office location: Doncaster Rail College

Job objectives and responsibilities

Standards: As a Corporate Receptionist, you will serve as the first point of contact for our organisation, providing exceptional customer service to clients, visitors, and employees. Your role is crucial in creating a positive and professional impression of our company. You will maintain high levels of security awareness and adhere to uniform standards to ensure a safe and consistent environment.


Main Duties

* Reception Desk Management: Greet visitors with a warm and friendly demeanour; answer and direct incoming calls; manage the reception area; provide a site safety brief to sign-ins; assist with client events; complete online Fire Warden Training and support with building evacuations; conduct weekly stock checks and order stationery; provide training for new team members; ensure health and safety posters and leaflets are up to date; maintain health and safety folders; report faults or health and safety concerns; collaborate with other teams to ensure smooth operations.
* Security Awareness: Monitor and control access; verify visitor credentials and issue badges; remain vigilant and report suspicious activity.
* Customer Service Excellence: Provide personalised assistance; offer accurate information about the company and facilities; handle inquiries and resolve issues professionally and promptly.
* Administrative Support: Sort mail, manage courier deliveries, book meeting rooms; respond to Reception Inbox; handle daily parcel deliveries; manage monthly visitor figures, internal auditing and staff passes reports; keep QHSE folder up to date; maintain filing systems; support other departments with administrative duties.
* Uniform Standards: Adhere to uniform guidelines; maintain a neat appearance; reflect company image positively.
* Front of House Coordinator duties (if applicable): Fire alarm testing, kitchen checks, meeting room checks, maintain stock and cleanliness, check printers, weekly fire extinguisher and First Aid box checks, floor walks, confidential waste scheduling, building inductions, and weekly fire door clearance checks.


Company Policy & Training

* All team members must read and sign site SOP & Uniform standard.
* Absence management must be followed.
* All mandatory training should be completed.


Person Specification

* Experience: 2 years' previous customer service experience within a reception, switchboard or room booking environment; qualified First Aider or willing to undertake a course. Training will be provided.
* Skills And Knowledge: Strong communication skills (written and verbal); proficient with MS Office; ability to interact with all levels; excellent organisation and multitasking; maintain composure in fast-paced situations.
* Education or Certification: 2 years reception/administration experience (beneficial, not required); A Level or equivalent.
