Responsibilities
* Act as a point of contact for all relevant activities, ensuring enquiries are effectively managed and successfully resolved within a prompt timescale, informing personnel and maintaining appropriate records.
* Ensure that all documentation is up to date, orderly, and available for decision making; report exceptional circumstances; collaborate with personnel to maintain an efficient administrative system, prompt transcription, manipulation and distribution of correspondence.
* Contribute to training improvement agendas, undertake project work such as data collection, collation, reporting, and use Trust IT systems to produce reports and spreadsheets per guidelines.
* Share ideas for potential service improvement, implement and maintain an efficient office management system/procedure, manage time, schedules, leave, communications, meetings/events, minutes, correspondence, reports, and manage office equipment and stationery.
* Support team members by explaining departmental practices and procedures, provide training and development for new and existing staff, and offer cross‑cover and day‑to‑day mutual support.
* Oversee and coordinate parts of the medical teaching programme for Foundation Years 1 and 2 in the West Midlands South Foundation rotation and the IMT residents programme at UHCW, working with the Foundation team and the IMT team and the medical education administration team.
* Provide administration support to the Foundation TPDs and the IMT Clinical Tutors, collate Foundation training and IMT programmes, respond to trainee queries about access to HORUS & E‑portfolio and other resident enquiries, and demonstrate the ability to provide cross‑cover as part of the full medical education administration team.
