As an Executive Assistant you will provide high‑level administrative, organisational, and strategic support to senior executives. This role ensures the Executive’s time, priorities, and communications are managed effectively, enabling them to focus on key business objectives.
Key Responsibilities
1. Executive Support
* Manage complex calendars, schedules, and meeting coordination.
* Prioritise appointments and resolve scheduling conflicts.
* Organise and prepare materials for meetings, including agendas, presentations, and reports.
* Take meeting minutes and follow up on actions.
* Act as the main point of contact between the Executive and internal/external stakeholders.
* Manage inboxes, screen emails, and draft responses.
* Prepare correspondence, reports, and documentation to a professional standard.
* Handle confidential and sensitive information with discretion.
2. Travel & Logistics
* Coordinate international and domestic travel arrangements.
* Prepare detailed itineraries and manage last‑minute changes.
* Process travel expenses and maintain accurate records.
3. Administrative & Office Duties
* Manage document filing systems, diaries, and office processes.
* Support event planning, workshops, and executive meetings.
* Maintain organisation of key business documents and manage version control.
* Process invoices and expense claims.
4. Project & Business Support
* Assist with project planning, tracking, and coordination.
* Conduct research and prepare briefing materials.
* Support the preparation of presentations and business papers.
* Liaise with managers and teams to ensure deadlines are met.
5. Relationship & Stakeholder Management
* Build strong, professional relationships across the organisation.
* Communicate effectively on behalf of the Executive.
* Liaise with clients, partners, and board members when required.
* Exceptional organisational and time‑management skills.
* Strong communication skills (written and verbal).
* Ability to prioritise and work under pressure.
* High level of discretion and confidentiality.
* Strong attention to detail.
* Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint).

Qualifications & Experience
* Proven experience as an Executive Assistant, PA, or senior administrative role.
* Experience supporting Directors, C‑suite, or senior leaders.
* GCSEs/A‑Levels or equivalent (degree desirable but not essential).
* Experience in manufacturing desirable.
