Administration Assistant

Location: North London

Hours: Full-time, Monday to Friday (8:00 AM – 4:35 PM)

The Opportunity


This is a hands-on, fast-paced administrative and operational support role positioned at the centre of a busy production facility. You will work closely with senior operational leaders across the full order lifecycle - from order processing and scheduling to despatch, invoicing, and contract coordination.

Key Responsibilities -


Administration & Coordination


* Process daily customer and contract orders using internal systems (including Sage 50).
* Maintain accurate digital and physical records of purchase orders, measurements, and despatch documentation.
* Update shared reports and trackers across OneDrive (e.g., Production Reports, DSAR, Delivery Note logs).
* Monitor and respond to incoming contract emails.
* Facilitate clear communication between tailoring, cutting, and production teams to ensure order accuracy.


Production & Operations Support


* Prepare and issue production tickets and assist with weekly production scheduling.
* Liaise closely with the Production Manager and Head Cutter to confirm achievable delivery timelines.
* Assist with Bills of Materials (BOM) and allocate correct stock for fabrics and trimmings.
* Track fittings, alterations, collections, and outstanding actions, keeping all systems up to date.
* Support logistics coordination and general factory workflow management.


Contract Management


* Process and update orders via procurement and supplier portals (training provided).
* Prepare and upload Advice Notes (ASNs), Delivery Notes, and Invoices to ensure traceability and timely payments.
* Verify accuracy of service numbers, regiments, and contract codes across all orders.


General Office Support


* Manage factory supplies, stationery, and general administrative resources.
* Assist with diary management, scheduling, and appointments for management and production teams.
* Support invoicing and fulfilment for various corporate and heritage contracts.


Essential Skills & Experience


* Experience in administration, operations, or production support.
* Highly organised, detail-oriented, and confident managing multiple workflows.
* Competent with Microsoft Office and Excel, able to work with large datasets and detailed reports.
* Strong verbal and written communication skills.
* Able to work collaboratively within a small, fast-paced team and independently when required.
* Proactive, adaptable, and a confident problem solver.
