About the Role
We are seeking an experienced Legal Secretary / Private Client Secretary to join the Wills, Probate and Private Client team. You will be a key part of the department, providing high-quality secretarial, administrative and client support.
Key ResponsibilitiesSecretarial & Administrative Support
Provide typing, digital dictation and administrative support to fee earners.
Prepare, transcribe and format correspondence and legal documents using firm precedents.
Use the case management system for accurate filing, document storage and workflow management.
Handle scanning, printing, photocopying and daily office routines.
Manage diaries, organise meetings and coordinate travel arrangements.
Client Support & File Management
Be the first point of contact for clients, delivering a professional and friendly service.
Manage client/matter files including file opening, client care documents, archiving and compliance procedures.
Manage requests for original documents, including retrieving items from the strong room.
Provide clear communication and updates to clients as required.
Private Client Department Duties
Prepare Wills, Codicils, LPAs, Living Wills, Deeds of Revocation and other documents.
Bind and sew Wills and ensure safe storage and secure retrieval.
Complete relevant Land Registry forms and searches.
Assist with Trust and Estate administration documentation.
Teamwork & Development
Support colleagues and contribute to a positive team environment.
Attend training, development sessions and internal learning programmes.
Maintain confidentiality, accuracy and compliance with firm standards and Lexcel guidelines.
Skills & Experience Required
Previous experience as a Legal Secretary, ideally within Private Client, Wills or Probate.
Strong typing and digital dictation skills with excellent accuracy.
Exceptional attention to detail, grammar and document formatting.
Confident communicator able to remain calm and professional under pressure.
Strong Microsoft Office skills and familiarity with document management systems.
Well-organised, proactive and able to manage workload effectively.
A positive, can-do mindset with a collaborative team approach.
