This role is based in the UK and will be working on site in our UK based College. Administrative support will also be required on an ad-hoc basis to the wider College Leadership Team. The post-holder will be based in the Executive Office at Royal Leamington Spa College and will report to the CEO/Principal. The Executive Office is a busy environment and the post-holder will be required to support the senior managers outlined above as well as effectively and efficiently managing the Executive Office. The post-holder will be expected to travel to support the senior managers in Warwickshire and Worcestershire at any of the WCG sites where necessary. DUTIES AND RESPONSIBILITIES The post-holder must have an assertive personality with excellent organisational and administrative skills, enjoy working in fast-paced environment, and have the ability to work unsupervised to meet deadlines. The post offers significant variety and would suit someone with a good mix of both administrative and communication skills. It is essential that the post-holder is able to operate in a busy environment, with high levels of professionalism and integrity, since the nature of the position requires appropriate handling of information of a sensitive and confidential nature. Key Responsibilities • Professionally represent ELT, demonstrating college core values at all times. • Provide general, high level administrative support which includes diary and email account management for ELT • Organise cross-college meetings that are chaired by senior managers including calling for papers, arranging accommodation, taking minutes and distributing them • Proactively manage time and plan for upcoming meetings and events • Support ELT with the production of reports for governors, internal or external audiences within agreed timescales. • Support the ELT in preparing communications, emails and presentations as requested within agreed timescales. • Organise, print and collate reports for ELT when they attend meetings. • Produce documents, briefing papers, reports and presentations to a high-quality standard. • Research, summarise and distribute government documents and changes to the external environment so that senior managers are kept up-to-date with the latest developments. • Organise travel arrangements & prepare travel expenses for ELT • Coordinate Internal Audit visits, actions log and monitoring Risk Register • Manage the Executive Office email account and associated follow up as required • Any other duties commensurate with the role In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.
