Our client, a unique, world-class global University with a long, proud and distinctive history, is looking for an experienced Receptionist to join their front of house team.
Working hours 8.30am – 17.30pm.
Job purpose
The main function of the post is to assist with the smooth running of the building, with a view to provide excellent continuous service and support to tenants.
The post holder will have excellent all-round administrative, organisational and IT skills, and the ability to deal confidently and professionally with people at all levels.
The post holder will ensure office supplies are stocked up, defects are logged, book meeting rooms for tenants, and always make sure surroundings are kept tidy and presentable.
The candidate should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail. They should also possess a friendly demeanor so they can effectively interact with office visitors and interview candidates.
Main duties and responsibilities
* Greet and direct visitors and service personnel
* Facilities Management: log, report and monitor defects log
* Manage the centre’s general e-mail account queries from tenants as well as external requests
* Manage meeting room requests and prepare the rooms as necessary (including helping with AV equipment set up etc.)
* Receive and sort incoming tenants' post. Coordinate storage and notification of incoming perishable goods to tenants
* Assist and help facilitate the running of events in the evenings and early mornings when needed
* Receive and respond to enquiries from / to customers, and tenant concerns with a view to resolve matters as soon as possible
* To support the Executive team with tasks on an ad hoc basis
* To ensure common spaces are maintained to a high standard at all times and check the work of cleaners against agreed KPI’s
* Direct incoming telephone calls to the relevant person
