Job Summary
Help deliver our high standard of administrative and operational support to the Production Team, major promoters and artists, space hirers, community groups, and internal space users for our year-round events in our award-winning venue.
Job Description
EVENTS, CLIENTS & CUSTOMER SUPPORT
* Ensure event listings & venue tickets are set up for on-sale, working with promoters to manage allocations & provide sales updates
* Support & respond to space hire related enquiries - support in sending availability requests to organisers & pencil updates & confirmations, when requested utilising the room booking software.
* Support pre-show customer communications, ticketing & events mailbox along with Visitor Services Assistant & ticketing partner.
* Create & communicate essential customer info incl dinner, ticket & access requirements to Venue Manager, clients & food team.
* Work with Marketing Manager to identify key events to promote, competitions, offers & internal programming promotions.
ADMINISTRATION & OPERATION SUPPORT
* Support Head of Events commercially promote & take bookings for hire spaces & support commercial hire review & strategy
* Line Manage Visitor Services Assistant*
* Manage pre & post booking of hires working with clients to understand requirements, get feedback on hires & prepare and issue invoices
* Greet new hall hirers on their 1st day & relay H&S, emergency & security procedures
* Coordinate with Venue Manager to ensure rehearsal cover is booked & there is adequate staff for hire bookings
* Manage ticket allocations & update booking forms - supporting Promoters & Organisers finalise ticketing allocations for events & manage internal ticket allocation & guest list
* Support bar teams with deliveries
* Act as a key-holder for building & be responsible when necessary for opening/locking building.
*For this fixed term role, we will consider applicants with no management experience & adjust accordingly if appointed.
INTERNAL PROGRAMMING
* General space hire, admin & onsite support for our developing internal programme of large-small events, community activities & workshops
* On-sale reports, regular reporting & flag issues & identify possible solutions & promotions
Job Requirements
* Must have the right to work in the UK
* Proven experience of working within a large team within an event or theatre environment.
* Proven knowledge & experience of using room booking & ticketing software programmes
* Awareness of H&S practice within a venue setting
* Excellent standard of both written & spoken English with the ability to communicate effectively with a wide variety of people in a confident, professional, friendly manner
* Working knowledge of Yesplan & Pazaz
* Experience of line management
* Experience working with event organisers & promoters
* Experience working with a community-led organisation
* Minimum 2 years experience in a similar role
* First Aid at Work qualification
* Experience of working with & supporting clients with varying experience & demands, from major international promoters to upcoming or community producers/promoters & community groups
* Experience managing entry-level staff or trainees
* Understanding the role of arts to change lives

GENERAL
* Supporting the Head of Finance and team in implementing and monitoring new IT systems and debt recollection.
* Support the team to record and evaluate progress against key Drivers for Change, such as diversity, accessibility, environmental sustainability and other key areas related to venue and hall hire
* Cover the buzzer and answer general telephone enquiries, primarily over lunchtime but as required.
* Supporting team members with general administration including Union Chapel staff meetings, agendas, scheduling, attendance and co-ordinating seasonal offers.
* Be fully conversant with emergency and evacuation procedures and support evacuations of the building and assist the Facilities Manager with the coordination of the Fire Alarm test, when necessary.
* Undertake any other duties that may be reasonably required by the organisation
