Job summary
We have a rare opportunity to work as an Executive Assistant to provide dedicatedexecutive support to the Medical Director and Director of Nursing, Governanceand AHPs at Catherines Hospice. This includes day-to-day diary management,arranging, planning & coordinating meetings, typing reports &correspondence, taking minutes, and the preparation of agendas. The postholderwill be assisting the medical and nursing directors to lead the organisationthrough high quality, effective administration including contributing toeffective and efficient governance.
Weare looking for an individual with excellent written and verbal communicationskills, who has a thorough understanding of confidentiality, who istrustworthy, approachable, able to prioritise and plan workload, multi-task andwho has an eye for detail.
Main duties of the job
You will beresponsible for the collation and production of papers for subcommittees andworking groups, the collation of data for regulatory compliance such as CQC andICB contract reporting. Previousexperience of providing effective personal assistant support to a seniormanager is essential.

Job responsibilities
1. Collate data for regulator compliance such as CQC and ICB reports
2. Ensure that Information Governance and other relevant policies are complied with.
3. Manage projects as directed by the Directors
4. Ensure robust documentation for rotational doctors
Support the clinical governance structure, delegating work as necessary, to ensure standards are maintained the suite of hospice policies and audit plans are monitored and updated by relevant staff in a timely manner
Work with the Director of Nursing, Governance and AHPs to:
Identify necessary workstreams and implement improvement plans in relation to the CQCs requirements, this will involve liaison across clinical and non-clinical services to achieve regulatory standards
Manage and oversee the administration of the Hospices incident reporting system
Ensure that hospice policies on the retention and destruction of confidential information are clearly followed
Ensure contracts for services are managed
Work with service leads and the finance team to ensure accurate and timely processing of invoicing etc
Organise and support internal and external meetings with responsibility for agenda
preparation, information packs, minutes, action notes, travel and accommodation and hospitality as required
5. Effective diary management for the directors
6. Ensure clarity and accuracy in all aspects of administration
7. Maintain and develop effective filing systems
8. Be innovative by continuously improving efficiency and productivity
9. Communicate and record information appropriately and accurately especially matters of a confidential nature including maintenance of confidential / secure / archived files.
10. Data inputting and development of spread-sheets for KPIs, activity data, performance monitoring etc.
11. Production and presentation of data as required.
12. Analyse and assess reports to identify next steps and actions
13. Liaison and collaboration across clinical and non-clinical services
