We are looking for a highly organised and proactive Sales Administrator to support our sales team and wider aparthotel operations. This role is key to ensuring sales processes run smoothly, customer requests are handled efficiently, and accurate records are maintained at all times.
You will act as a central point of communication between clients, the sales team, and internal departments, contributing to the overall success of our commercial strategy.

Our 5* apartments are a sanctuary amidst the chaos, allowing our guests to navigate the city with ease.

As the Sales Administrator you will support the sales team by managing and processing sales orders, coordinating customer requests, maintaining accurate sales records, and ensuring effective communication between departments. The role requires attention to detail, strong organisational skills, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
Customer & Client Communication
Support Sales team by handling follow ups, sending confirmations, and managing client correspondence.
Support property site visits, show arounds, and VIP client appointments.
Documentation & Reporting
Prepare sales documentation including contracts, event schedules, pro formas & Invoices.
Assist generating weekly and monthly reports such as pace, productivity, enquiry logs, and revenue summaries.
Sales Team Support
Assist with preparing presentations, marketing materials, and tender documents.
Checking new reservations have been updated with correct company, agent & OTA information.
Cross referencing manual bookings from various third parties
Researching local business to target
Book and organise sales appointments, attend networking events, and corporate client events.
Support internal sales campaigns and promotional activities.
Cross-Department Collaboration
Assisting when needed with reception team & working closely with Front Office, and Food & Beverage to ensure smooth delivery of sales bookings.
Communicate changes, special requests, and updates clearly to operational teams.
Support the hotels commercial strategy and contribute positively to sales office culture.
Data Entry & Record Maintenance
Assisting with quoting and inputting corporate, agent & meeting reservations.
Maintain accurate sales, revenue, and client information in CRM and PMS systems.
Process amendments, cancellations, and special requests following hotel policies.
Ensure compliance with GDPR and brand standards in client data handling.
Competencies & Skills:
Proficient in Microsoft Office (especially Excel, Word, PowerPoint).
Experience using hotel systems such as Guestline, Secure Trading, Trust Payments, Stripe, Lanyon (Cvent) & Stripe, or similar CRM/PMS platforms, payment & RFP systems.
Strong organisational and multitasking ability.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to stay calm under pressure and meet deadlines.
Friendly, approachable, and confident in interacting with corporate clients, guests, and internal teams at all levels.
Demonstrates passion for hospitality and exceptional service.
High standards of professionalism, integrity, and teamwork.
