Hours: 21 Salary: £12.23 Hourly. Overview of the role This is a versatile role crucial to the smooth and efficient operation of Catherine Care. The Administration Assistant position requires a highly organised, proactive, and customer-oriented individual. Key responsibilities encompass welcoming visitors, managing daily operations, providing administrative support, and assisting colleagues and clients. Key duties Visitor Management: Greet and welcome all visitors (social workers, professionals, families, prospective clients). Ensure visitor sign-in/out and fire register compliance. Assist visitors with locating meeting rooms and staff members. Provide refreshments to visitors as needed. Reception Duties: Answer and direct incoming phone calls (approximately 40 calls per day). Handle general enquiries and disseminate information to relevant staff (e.g., lunch orders, appointment bookings, client updates). Client Support: Monitor client movement within the building, ensuring safety and well-being. Assist clients with using IT equipment (laptops, tablets). Provide basic IT support (e.g., printer troubleshooting). Administrative Support: Prepare, print, and distribute letters, forms, and fliers to clients and staff. Track client and staff correspondence and ensure timely delivery. Maintain accurate records of client and staff information. Scan, upload, and file client and staff documents (e.g., care plans, supervisions, risk assessments). Develop and maintain recording sheets for various operational areas (e.g., fire checks, COSHH). Maintain and update client and staff databases (e.g., contact information, fire register, DBS records, vaccination status). Operational Support: Assist session leaders with session preparation and delivery. Provide support to staff during absences or peak periods. Manage staff car keys and assist with vehicle movement. Assist with ordering and maintaining office supplies. Assist with implementing and maintaining health and safety protocols. Screen and direct calls to appropriate staff members. Assist with basic financial tasks as required. Personal attributes Essential Skills Excellent communication and interpersonal skills.. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
