Job overview

To provide clerical and administrative support to the Booking Team within Community & Neurodisability Paediatrics. The role requires competency in general admin, keyboard skills, good communication and an ability to work well within a team. An ability to understand the need for and to maintain confidentiality is essential.


Main duties of the job

• To always ensure a high standard of data quality, in particular ensuring that patient demographic details are accurate and up to date within our clinical system (EMIS).

• Transferring and booking in patient records using patient tracers.

• Open and prioritise correspondence (which is often highly sensitive and of a confidential nature) on behalf of the autism team/secretay ensuring that urgent correspondence receives prompt attention.

• Distribution of relevant correspondence/questionnaires to other health professionals within the Trust, Educational Establishments and Outside Agencies.

• Booking of appointments and assessments for children and young people on the Community Neurodisability Pathway.

• Use of photocopier, fax and e-mail when necessary.

• Attend appropriate training, meetings and education sessions when required

• Work with managers to review working practices, ways of working and find solutions to problems

• Work with managers to improve quality and range of services, with resources being managed according to agreed policies and procedures

Person specification


Essential


Essential criteria

* GCSE English at Grade ‘C’ or above or equivalent
* Previous Administrative Experience
* Proven ability to manage priorities under pressure
* Proven ability to produce neat and accurate work
* Knowledge of I.T systems - Word, excel, emails.
* Customer care experience
* Communication skills
* Organisational skills
* Prioritise work load
* Flexible
* Adapt to change
* Self disciplined and motivated
* Professional approach to work, in attitude, ethic and dress code
* Team worker


Desirable criteria

* Previous NHS admin/office experience
* ECDL or equivalent qualification
* Experience in dealing with confidential information
