The Role
This is a brand-new role which will focus on improving our day-to-day enquiry handling, quoting admin, and customer communication to keep pace with our current growth.
Your role is to take ownership of that flow, from first enquiry through to completed job, making sure customers are informed, quotes are followed up, and nothing falls through the cracks.
A big part of this role is delivering excellent customer service, and that often means picking up the phone. We don’t believe everything should be handled over email. Being comfortable speaking to customers, clarifying details quickly, and building relationships is a really important part of how we work.
Alongside this, you’ll be supporting and developing into the quoting side of the business, starting with smaller, day-to-day quotes and building knowledge over time.
What You’ll Be Doing
Managing Enquiries & Customer Communication
* Acting as the first point of contact for incoming enquiries (email, phone & online)
* Acknowledging enquiries quickly and professionally
* Speaking with customers to gather clear, accurate briefs
* Picking up the phone when needed to resolve queries quickly and provide a better service
Supporting the Quoting Process
* Preparing and sending smaller or straightforward quotes
* Gathering the right information upfront to avoid delays later
* Supporting Directors with larger quotes by collecting key details
* Checking lead times and coordinating with operations
* Following up on quotes and keeping opportunities moving
Keeping Jobs on Track
* Sending order confirmations and ensuring jobs are correctly logged
* Coordinating artwork requirements and chasing missing information
* Keeping customers updated throughout their job
* Supporting delivery, collection, and installation coordination
Managing the Pipeline
* Keeping systems (Clarity/CRM) accurate and up to date
* Tracking all live enquiries and jobs
* Flagging anything that has stalled or needs attention
* Reducing back-and-forth on admin
What We’re Looking For
* A reliable, conscientious team player who wants to get the job done
* Friendly and confident communicator with email etiquette and a great phone manner when speaking with customers
* Someone who values good customer service and knows when a quick call is better than another email
* Strong organisation and multitasking ability to manage multiple enquiries and priorities at once
* Ability to prioritise when things come in at once whilst staying calm under pressure
* Attention to detail – takes pride in doing things properly
* Comfortable working on a computer all day across multiple systems
* Technically minded and confident in learning new software
* Happy handling admin and keeping systems accurate and up to date
* Proactive - someone who notices when things aren’t moving and takes action

* A position that will grow into more responsibility around estimating and quoting
What This Role Is Not
* Not a Senior Project Manager role but vital in keeping work flowing smoothly from enquiry through to production
* Not responsible for complex technical pricing from day one
* Not a purely administrative role; this is a hands-on, people-facing role
Growth in the Role
You won’t be expected to build complex quotes immediately.
From the start, you’ll handle smaller, day-to-day quotes and gather the right information for larger jobs. As your knowledge of materials, pricing, and processes develops, there is a clear path to taking on more of the estimating and quoting responsibility.
