The opportunity
AJW Group is seeking a highly organised and proactive Executive Assistant to support our Chief Executive Officer on a 12-month fixed-term contract, ideally to start from the 1st of September 2025.
This role requires a high level of autonomy, discretion, and decision-making. You’ll manage the CEO’s schedule, communications, and travel while coordinating with stakeholders across multiple global locations. The ability to act on remote instructions and deliver efficiently in a fast-paced environment is essential.
Responsibilities include:
* Manage complex diaries, meetings, appointments, and business lunches for the CEO.
* Arrange international travel itineraries, sourcing competitive rates for flights, hotels, car hire, and restaurants.
* Interpret remote instructions and deliver a wide range of executive support services across multiple global locations.
* Provide support for personal diary management and arrangements as required.
* Prioritise and manage daily correspondence, including responding to emails, preparing reports, presentations, and handling general enquiries.
* Raise purchase orders and manage approval processes for various business and personal requirements.
* Complete and submit expense reports with accurate receipt tracking.
* Undertake ad hoc projects and deliver data-driven insights and information as needed.
About you
* Proven experience as a global Executive Assistant, ideally supporting a business owner or senior leader within a privately owned organisation
* Highly organised with exceptional attention to detail and time management
* Ability to handle confidential information with absolute discretion and professionalism
* Self-motivated, adaptable, and capable of working independently across multiple time zones
* Expert-level communication skills, both written and verbal
* Strong relationship-building skills with a diplomatic and professional approach
* Tech-savvy with confidence in using various digital tools and platforms
* Tenacious, resourceful, and solution-oriented under pressure
