Job Role
To support the procurement and project teams by ensuring accurate processing and follow-up of purchase orders, supplier acknowledgements, and associated documentation. This role requires meticulous attention to detail, excellent communication skills, and the ability to liaise effectively with internal teams and external suppliers.
Key Responsibilities
* Supplier Acknowledgement Verification:
Methodically review supplier acknowledgements against purchase orders, ensuring accuracy in technical details, pricing, and delivery dates. Take corrective action where discrepancies are found.
* Stakeholder Communication:
Liaise with Project Planner, Project Coordinators, Engineers, and suppliers to resolve issues related to orders, deliveries, and documentation.
* Order Management:
Proactively chase suppliers for late acknowledgements and overdue orders to maintain project timelines.
* Purchase Order Processing:
Process purchase orders upon receipt of Purchase Order Requisitions (POR), using the company's procurement system or credit card, as appropriate.
* Delivery Coordination:
Monitor deliveries working closely with the team at goods inwards to ensure goods are received in a timely manner.
Key Skills & Competencies
* Strong attention to detail and methodical approach to tasks
* Good understanding of technical documentation and procurement processes
* Excellent verbal and written communication skills
* Ability to prioritise tasks and meet deadlines in a fast-paced environment
* Proficient in Microsoft Office and procurement/inventory systems
Desirable Qualifications & Experience
* Previous experience in a technical administration, purchasing, or project support role
* Experience using ERP or procurement software
