In this role, you’ll be hands-on with purchase order management, reconciliation tasks, and liaising with finance and operational teams to ensure smooth processes and compliance. Raise and track Purchase Orders (POs) using Oracle ERP system, ensuring compliance with company policies and budget controls. Monitor PO status, resolve discrepancies, and coordinate with finance and procurement teams to ensure timely processing. Reconciliation of agency workers’ timesheets with associated purchase orders and invoices to identify and resolve discrepancies. This task will involve liaising with numerous operational colleagues and working to tight deadlines to ensure timely information sharing with the accounts function. Process expenses as and when requested. Manage complex calendars across multiple time zones, prioritising commitments and resolving scheduling conflicts. Prepare briefing materials, presentations, and correspondence for meetings and engagements. Prepare reports, presentations, and correspondence with a high degree of accuracy and professionalism. Screen and prioritise communications (emails, calls, messages), replying on behalf of the executive when appropriate. Coordinate with internal teams and external stakeholders on the executive's behalf. Act as a gatekeeper, managing access to the executive's time. Coordinate events, dinners, and social engagements. Manage gift selection and acknowledgements for business. Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries. Ensure there is always administrative coverage provided, taking into consideration non-working days and annual leave. Maintain confidential records and files and manage sensitive information with discretion. Manage subscriptions, memberships, and renewals. What are we looking for in our Executive Admin Assistant? Proficiency in Oracle ERP systems, with hands-on experience in raising and managing POs. Experience in reconciliation of timesheets, invoices, and purchase orders. Proven experience as an Executive Assistant or similar role supporting senior leadership. Strong organisational and multitasking skills with attention to detail. Excellent written and verbal communication skills. Ability to work independently and handle confidential information with integrity.
