What you will be doing
as a Senior Facilities Coordinator
Facilities
1. Act as the point of contact for all FM services and operations at Clearwater Court.
2. Engage and lead on monthly internal stakeholder’s user groups.
3. Review reactive tasks and planned maintenance for the building.
4. Carry out monthly H&S SHE Site audits.
Supply Chain
5. Act as point of contact for site maintenance visits.
6. Review service through audits, ensure service meets requirements.
7. Day to day management of reactive tasks.
Finance
8. Oversee and administrate the day-to-day finance process.
9. Processing invoices via SAP and dealing with supplier queries.
10. Manage and process monthly billing by reviewing submissions.
11. Track accruals, actuals and forecast throughout the Financial Year with monthly reporting.
12. Track quoted and chargeable reactive works.
Team support
13. Lead and support facilities administrator through the finance process.
14. Assist the Soft Services Manager where required.
15. General admin support to the FM team.
Location – Clearwater Court, Reading
Working Hours – 36 hours per week.
What you should bring to the role
To thrive in this role, the essential criteria you’ll need are:
16. Work experience as a Facilities Coordinator of similar role.
17. Knowledge of facilities management operations.
18. Sound judgement and the ability to think quickly during an emergency.
19. Demonstrates a professional level administrative support skills.
20. Full working knowledge of Microsoft word applications.
