Job Introduction
* Administration Assistant
* 37.5 Hours per week
* Monday to Friday
* Up to £27,500
* Location is Manchester University NHS Foundation Trust, Oxford Road, Manchester, M13 9WL

Join Manchester University NHS Foundation Trust as an Administrative Assistant and play a vital role in ensuring operational excellence, governance, and compliance across our services. You will be instrumental in maintaining Sodexo’s performance, ensuring all contractual parameters within Schedules 14, 16, and 18 are met or exceeded, particularly within Soft Services. This role offers a dynamic opportunity to serve as a key communication link between operational leads, Sodexo teams, the Trust, and ProjectCo, fostering strong, collaborative relationships that drive service excellence and continuous improvement.

What You'll Do:

o Provide administrative support to Heads of Service (HoS) and Operational Leads, including managing schedules and correspondence
o Coordinate and support meetings, including booking facilities, preparing materials, and following up on action items
o Manage travel and hotel bookings for team members and visitors, ensuring smooth arrangements
o Maintain and update reports, databases, and documentation systems such as SharePoint, Power BI, and SmartSheet
o Support site visitors by coordinating itineraries, liaising with Service Managers, and ensuring high standards of hospitality. Ensure
o Ensure compliance with company policies and procedures, conducting audits and highlighting areas for improvement
o Handle communication tasks, cascading information effectively to internal teams and clients
o Assist with procurement activities, including ordering IT hardware, stationery, and managing stock levels

What You Bring:

o Previous experience of having managed a range of support functions with the ability to improve organisational effectiveness
o Proficient with Microsoft office applications (including Outlook, Word, Excel, Publisher, PowerPoint, Teams, Visio)
o Excellent numerical and verbal skills
o Excellent communication, organisational and administration skills, including editing and a keen attention to detail.
o Have worked in an environment where confidentiality is important
o Articulate and thorough, showing attention to detail
o Ability to be resilient and adaptable
