We have an exciting opportunity to recruit a Property Manager to join our Newbury office. In this role, you will take responsibility for managing a designated property portfolio, covering both residential and communal management. You will play a key role in ensuring the smooth day-to-day operation of the portfolio and the office, working closely with colleagues and communicating effectively with a wide range of stakeholders including landlords, tenants, contractors, and third parties.

Main tasks:
1. Working with the Office Administrator/ Negotiators to ensure all pre-tenancy works are in place for new managed tenancies.
2. Following up on property reports with Landlords and liaising with them to ascertain any necessary repairs/discussions with tenants as a result of this.
3. Creating works orders for any maintenance that arises.
4. Processing of repairs invoicing and managing expenditure for Landlords.
5. Dealing with general maintenance issues that arise and raising works orders/managing Tenant/Landlord expectations and keeping all parties up to date
6. Act as the primary point of contact for tenant enquiries, disputes, and service requests.
7. Maintain professional, timely, and effective communication with tenants, landlords, clients, and third parties.
8. Manage the sending of checkout reports at the end of the tenancy, deposit dilapidations – TDS – returning deposits
9. Communal management for small blocks within the portfolio
10. Consistently maintain a high standard of record keeping, update and maximise the use of databases to ensure accuracy in file management, communications, and compliance.
11. Use of Fixflo and OOH systems.
12. Covering Compliance – when staff are absent.

What will it take to be successful?
We are seeking someone with previous property management experience or a related field. Excellent administration/coordination skills. You’ll have strong customer service, excellent written and verbal communication skills and good time management. Additionally, you’ll be a strong team player, with the ability to work well under pressure to meet deadlines. You will also be IT literate and proficient in Microsoft Word, Excel and PowerPoint & Outlook and comfortable working with databases and any relevant software.
