We’re looking for a vibrant, dynamic, and organized Personal Assistant to provide high-level support to our Chief Growth Officer, Group People & Talent Officer, and Group Operations Officer. If you’re a multi-tasking magician, a problem-solving pro, a people person, and willing to work out of our Birmingham (Solihull) office, then this is for you.
As the Personal Assistant, you will facilitate smooth communication, manage schedules, and handle various administrative tasks within a fast-paced creative environment, surrounded by creatives, making your work both challenging and fun.
What you’ll do:
* Manage calendars and meeting schedules, helping ensure deadlines are met.
* Coordinate travel arrangements, including flights, accommodations, and transportation using our IPG travel system.
* Prepare and edit presentations and reports as needed.
* Arrange meetings, organize hospitality, and greet clients.
* Handle confidential information with discretion.
* Assist with special projects, events, and ad hoc assignments.
* Prioritize and manage incoming communications, including emails.
* Anticipate and proactively address the needs of all individuals.
* Input timesheets weekly.
* Process expense and mileage claims.
* Collaborate with the Front of House to ensure smooth operations and support initiatives.
* Develop a deep understanding of the agency’s people, personalities, and current affairs.
* Provide insights on the cultural impact of business decisions.
Personal Skills & Experience:
* Proven experience as a Personal Assistant or similar role, preferably in a fast-paced environment.
* Excellent communication and interpersonal skills.
* Strong organizational skills and attention to detail.
* Open and friendly personality; the ability to appreciate humor is essential.
* Ability to interact effectively with clients and colleagues at all levels.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to multitask and prioritize effectively.
* Discretion and trustworthiness with confidential information.
* Adaptability and willingness to take on new challenges.
* Experience in advertising or marketing is a plus.
