Job Summary
The Executive Assistant will provide high-level administrative support to MD, ensuring smooth operations and assisting with both day-to-day activities and long-term projects. The ideal candidate will be proactive, organized, and possess excellent communication skills, able to manage complex schedules and anticipate the needs of executives.
Responsibilities
* Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
* Coordinate and prioritize tasks to ensure deadlines are met.
* Prepare and edit correspondence, reports, presentations, and other documents.
* Handle confidential information with discretion and professionalism.
* Answer calls, screen emails, and respond to inquiries as appropriate.
* Draft and review communication on behalf of the executive.
* Organize travel arrangements including flights, accommodations, and transportation.
* Create detailed itineraries for business trips, ensuring all logistics are handled.
* Coordinate events, meetings, and conferences for the executive and team.
* Manage logistics for internal and external events, such as company meetings or client presentations.
* Support and track the progress of ongoing projects.
* Assist in preparing reports, presentations, and other deliverables for key projects.
* Ensure tasks and projects are completed within deadlines and standards.
* Identify opportunities for process improvement and recommend solutions.
* Provide proactive support to the executive, anticipating needs and managing issues before they arise.
* Any other ad hoc duties
Experience
* Proven experience as an Executive Assistant or in a similar administrative support role.
* Experience managing executive calendars, coordinating meetings, and handling travel logistics.
* Exceptional organizational and time management skills.
* Strong communication skills, both written and verbal.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to manage multiple priorities and work under pressure.
* High attention to detail and accuracy.
* Discretion and confidentiality in handling sensitive information.
* Proactive, resourceful, and self-motivated.
* Strong interpersonal skills with the ability to interact with various levels of staff, executives, and clients.
* Flexibility to adapt to changing priorities.
Salary and Benefits
* £25,000 – £28,000 per year
