An established Executive Search firm based in Nine Elms (Battersea) is seeking a highly organised and proactive Team Assistant to join their team. This is not a traditional administrative role; instead, it is a pivotal operational position working closely with senior consultants as they deliver high‑profile search assignments.
The firm specialises in appointing senior leaders—including CEOs, CFOs and Managing Directors—where each mandate is a bespoke, high‑stakes project requiring exceptional accuracy, coordination and stakeholder management.
Role Overview
The Team Assistant will provide essential support across all stages of the executive search lifecycle. You will manage complex workflows, coordinate multiple simultaneous tasks, and act as a central communication point for clients and candidates. This role requires sound judgement, strong communication skills, and the ability to run several high‑level administrative projects in a fast‑paced environment.
Key Responsibilities
Project & Process Support
* Support the delivery of 15–20 concurrent search projects.
* Maintain smooth and timely progress across all assignments.
* Ensure accuracy and consistency throughout all documentation and processes.
Client & Candidate Coordination
* Serve as the primary process contact for clients and candidates.
* Provide clear, timely updates and uphold strong consultant–stakeholder relationships.
* Anticipate potential issues and support effective resolution.
Administrative Excellence
* Manage complex diaries and interview scheduling across multiple time zones.
* Prepare high‑quality documents, reports, and correspondence.
* Uphold precision and consistency across all administrative outputs.
Communication & Liaison
* Act as the central communication point within the practice group.
* Liaise professionally with senior stakeholders, internal teams, and external contacts.
* Support new business efforts through efficient coordination and follow‑up activity.
Ideal Candidate Profile
The ideal candidate is a confident communicator who can engage professionally with senior stakeholders and manage multiple priorities with ease. Highly organised and detail‑focused, they work accurately under pressure and keep projects moving smoothly. They bring a proactive, solutions‑driven mindset, taking ownership of tasks and anticipating challenges before they arise. Experience in executive search or professional services is useful but not essential, strong professionalism, reliability and a calm, structured approach are what matter most.
