Role Summary
We are looking for someone who takes great pride in being an Executive Assistant as well as serving as a functional ambassador for Sophos and the Senior Management Team. You will provide full executive administrative support for three of our senior UK based managers, the SVP Finance, the Chief Research and Scientific Officer, and the CISO, with minor calendar and travel support for their direct reports. The successful candidate must be adaptable and possess the ability to think strategically, be a creative problem-solver and anticipate the needs of those they support.
What Will You Do
1. Key responsibilities include:
2. Independently provide high quality support to the SVP Finance, the Chief Research and Scientific Officer, and the CISO as needed
3. Help define new operational strategies and manage the day-to-day workflow to make the team more efficient
4. Act as a liaison, problem solver, facilitator, and first point of contact for the executives and others in their departments
5. Assist in the completion of high-level reports, documentation, and presentations
6. Prioritize and manage various projects and initiatives simultaneously, and follow through on issues in a timely manner
7. Coordinate schedules, complex calendars and individual and group meetings on and off site including all logistics (communication, location, meals, equipment, materials, RSVPs and travel/accommodations)
8. Manage a variety of bills and invoices, bank and credit card accounts as well as the expense reimbursement process for managers being supported
9. Manage departmental team building events; offsite meetings; coordinate logistics for departmental all-hands meetings
10. Be a key part of the team to deliver UK office-wide social and charitable events; including being a member of the UK leadership forum group
11. Manage physical wet signing of contracts and company secretarial documents that cannot be signed electronically by the company Directors (SVP Finance and Group Financial Controller)
12. Manage the quarterly CFO employee representation process
13. Collaborate with other senior leadership executive assistants to create seamless office operations and enable a culture of success
14. Creating solutions to new challenges through using professional and local knowledge
What Will You Bring
15. Bachelor’s degree or equivalent experience
16. At least 5+ years’ experience supporting senior-level executives
17. Intrinsically motivated, extremely detail orientated, highly organized and results-oriented
18. Able to work with little to no supervision
19. Demonstrated initiative, flexibility, teamwork, maturity under pressure, and can anticipate and resolve problems before they escalate
20. Highly advanced MS Office skills and technologically savvy (Word, Outlook, Excel & PowerPoint)
21. Possess strong interpersonal and communication skills to interface with all levels of the organization both written and verbal
22. Approachable, positive and upbeat personality
23. A high level of discretion, sensitivity and confidentiality for both business and personal affairs
24. Exhibit a professional presence and demeanor at all times
25. Exercise good judgment in setting priorities and ability to manage multiple tasks for multiple team members at the same time
