We are seeking a detail-oriented and proactive Program Specialist to join our dynamic Medical Communications team. In this role, you will coordinate and deliver complex healthcare communication projects, working cross-functionally with scientific, editorial, and client services teams to ensure successful project outcomes.
Key Role Responsibilities:
Project Planning & Setup
1. Collaborate with Senior Program Specialists, Account Managers, and Scientific Services to define project scope and requirements
2. Create comprehensive project plans, delivery schedules, and assist with metrics and risk management
3. Establish communication protocols and client approval processes
4. Set up appropriate project tracking systems and folder structures
5. Initiate and lead project kick-off meetings
Project Execution & Management
6. Manage assigned projects according to agreed internal and client processes
7. Serve as the key point of contact for project status updates to clients, faculty, and internal teams
8. Coordinate cross-functional project teams and lead regular progress meetings
9. Draft and circulate meeting minutes and action points, ensuring follow-up on deliverables
10. Maintain detailed awareness of project status to respond appropriately to stakeholder inquiries
Budget & Resource Management
11. Monitor project budgets and delivery timelines, addressing variances proactively
12. Support resource planning and staffing requirements
13. Monitor freelance resource progress in collaboration with Scientific Team Leads
14. Identify scope changes, assess cost implications, and communicate to management
Experience and Skills required for the role:
15. Bachelor's degree in Business or Life Sciences preferred
16. A few years' experience in medical communications
17. Experience working with publications within oncology - must
18. Understanding of healthcare industry regulations (EACCME/ACCME/FDA/AMA)
19. Knowledge of publication guidelines and processes
20. Strong project management expertise with ability to deliver on time and within budget
21. Excellent organizational skills with attention to detail
22. Outstanding interpersonal and communication skills (both written and verbal)
23. Advanced proficiency in Microsoft Office suite (Word, PowerPoint, Excel)
24. Proactive approach to problem-solving
25. Fluent in English, written and spoken
