Job Description – Administrative Staff for Petrol Stations

About the Role
We are seeking a reliable and detail-oriented Administrative Staff member to join our head office team. The successful candidate will provide essential administrative support to ensure the smooth operation of our group of petrol stations within the North. This role is primarily office-based but involves regular communication with site managers and staff.
Key Responsibilities
* Provide day-to-day administrative support to the head office and management team.
* Maintain accurate records of staff schedules, payroll details, and holiday requests.
* Process invoices, purchase orders, and supplier payments.
* Monitor compliance documentation, including health & safety records and staff training.
* Manage incoming calls, emails, and correspondence in a professional manner.
* Support recruitment processes including advertising vacancies, processing applications, and onboarding new employees.
* Prepare and update reports for management, such as sales performance, expenses, and staff records.
* Liaise with suppliers, contractors, and service providers as required.
* Ensure filing systems (digital and paper) are kept organised and up to date.
* Provide general administrative support to head office operations as needed.
Skills & Requirements
* Previous experience in an administrative role (retail, fuel, or service industries preferred).
* Strong IT skills, including Microsoft Office (Excel, Word, Outlook).
* Excellent organisational and time management skills.
* High attention to detail and accuracy in record-keeping.
* Strong communication skills, both written and verbal.
* Ability to work independently and as part of a team.
* Flexible and adaptable to the needs of a fast-paced business.
Working Hours
* Monday to Friday, office-based.
* Standard working hours with occasional flexibility required.
