Job overview

As part of a dynamic Logistics team, the successful candidate will be required to supervise the Band 2 and Band 3 Pharmacy Assistants and Band 4 Logistics Supervisors within the Pharmacy Logistics room

The role will require excellent attention to detail, time management, and would ideally suit someone who has a methodical approach. As the workload can vary throughout the day, the successful candidate will need to be able to work well under pressure in a fast-paced, changing environment, but also be able to manage and utilise staff within the team effectively during quieter spells.

Ideally, you will also need to have a proactive and flexible approach to work, whilst having the ability to appropriately delegate workload to meet tight deadlines.

Communication is vital in this role, as you will constantly be interacting with staff both within and outside of the organisation, as well as liaising with patients and relatives regarding the collection/delivery of their medication.

With this being a Coordinator role, there will also be full training provided (if required) to assist with various HR aspects, such as Staff Appraisals and supporting staff following a return to work after sickness absence, e.t.c.


Main duties of the job

The role will primarily require coordinating the transportation of medicinal products off-site through the use of approved couriers.

Due to the nature of this role, it will be vital to have awareness of legislation and guidance in place such as the requirements of GDPR (General Data Protection Regulation) and GDP (Good Distribution Practice), of which, appropriate training will be provided. As we also supply external entities and other hospitals you would also need knowledge and awareness of the requirements for supply medication under a Wholesale Distribution Authorization – WDA(h), detailed in chapter 9 of the MHRA's guide to 'Rules and Guidance for Pharmaceutical Distributors'.

Detailed job description and main responsibilities

Coordinate the daily operations of the Pharmacy Logistics team under the direction of the Pharmacy Transformation Manager, ensuring compliance with Standard Operating Procedures (SOPs). Take responsibility for the development, accuracy, appropriateness, and regular review of all SOPs."

Oversee the competencies and training of staff

Maintain accurate workload databases.Analyse data and producing and presenting reports.

Liaise with third party couriers, conducting service review meetings and annual audits and esure performance against a pre-agreed service specification.

Ensuring resilient systems through proactive error and incident handling, including the use of CAPAs.

Assist with all aspects of HR and recruitment (including but not limited to staff appraisals, sickness absence management, capabilities and disciplinary procedures and processes as required by the Trust).

Support the Senior Assistant Technical Officers (SATOs) and Logistics Supervisors in providing a safe and efficient service, ensuring that all work is prioritised accordingly and completed at the end of each day, and that any problems or queries are resolved in a timely manner.

Ensure compliance with Good Distribution Practice (EU GDP 2015/C 95/01) is undertaken within the Logistics areas of NBT Pharmacy and assist with ensuring that training is provided to all operational staff involved in these activities.

Education/Training

* Degree Level Qualification in healthcare related subject or NVQ/Buttercups Level 3 (Or Equivalent) Qualification in Pharmacy Services
* Completed or willing to work towards Management and Leadership competencies/qualifications
* Excellent IT Competencies/Qualifications
* Formally trained in all HR aspects (including Appraisal & Development, Sickness


Work Experience

* Experience working on own initiative and an ability to organise workload, often to tight and challenging deadlines.
* Experience of working without direct supervision and provide specialist advice on aspects relating to transportation, storage, and supply of medicines.
* Experience of working in the NHS
* Experience managing a team
* Experience of working closely with external partners
* Knowledge and expertise of Hospital Pharmacy Services
* Experience of managing change


Knowledge/Skills/Abilities

* Skilled in the use of packages such as Microsoft, including Word, Excel, Power Point etc
* Ability to accurately input data and retrieve complex data to maintain databases/excel spreadsheets/pivot tables
* Extensive knowledge of GDP (Good Distribution Practice) .
* Possess in-depth knowledge of the MHRA's "Rules and Guidance for Pharmaceutical Distributors," with expert-level understanding of Chapter 9, focusing on transportation requirements.
* Communicate effectively with pharmacy staff, hospital staff and patients/carers both written and verbal
* Ability to accurately input data usings the pharmacy computer system.
* Understands the limits of responsibility for non-registered staff

* Able to work during the normal working week between 07:00 and 20:00, as well as weekends and bank holidays on a rota basis. Shift pattern will be allocated once appointed, as the Department is moving towards a full 7-day service.
