Job Purpose:
As a Contract Administrator, you'll play a pivotal role acting as the initial face of engagement for our customers at GSK. The role presents an opportunity for the right individual to provide effective and timely administrative support to the account. You'll assist in the delivery of certain scheduled or ad hoc work functions and provide a range of support duties to ensure that all administrative related deliverables are met on time and with a high level of accuracy, aligned to company values. What you'll do:
1. General administrative duties across the account
2. Ensure high level of input accuracy to rigidly maintain data integrity
3. Own and maintain aspects in relation to the SmartSheet system for business functionality
4. Support the onboarding of new starters and leavers to the business, ensuring FieldGlass Is updated in line with SOP requirements
5. Manage absence capture and reporting process, ensuring RTWs are performed
6. Ensure up-to-date training on the system applications by attending training courses or by self-taught modules
7. Assist in training other system users
8. Attend to all related queries from internal as well as external clients within the laid down timelines either by phone or in writing and ensure high level of customer satisfaction
9. Ensure overtime approvals are triaged where necessary allowing for timely approval and payment.
10. Assist with general office duties such as, stationary stock control, Workwear and PPE ordering, preparation of ad hoc reports, maintaining filingand archive systems, key management.
11. Pool vehicle management across the account
12. Compile spreadsheets in Word or Excel format for any non-standard reporting
13. Identifying with and participating in the attainment of team objectives and priorities.
14. Communicating and sharing knowledge with other team members
15. Developing personal skills to meet both individual and team needs
16. Take the initiative to ensure that work processes, procedures and systems are effective and efficient while ensuring practices are aligned to established corporate standards of professionalism and accuracy
17. Maintain focus on excellent customer service delivery standards
18. Work towards the continuous improvement of EMCOR’s (including Workplace Health & Safety, Quality Assurance and Environment), existing standards, values and culture
Who you'll be:
19. Experienced Administrator, with proven ability to provide a high standard of support in administrative principles, including the ability to implement systems and processes and to pro-actively resolve problems.
20. Demonstrate an good level of interpersonal and communication skills, with the ability to liaise with customers and staff at all levels in both written and spoken English.
21. Demonstrated ability to contribute as a member of a team to achieve positive outcomes and provide quality service to customers.
22. Demonstrated organisational and time management skills, including the ability to manage competing priorities, monitor and co-ordinate a range of prescribed processes, to achieve tight deadlines and desired outcomes with due regard to accuracy
23. Demonstrated experience in computer applications, including Microsoft Office (Word, Excel, PowerPoint, Publisher), E-mail and Internet and databases.
24. Sound knowledge and understanding of basic Financial and Confidentiality principles.
25. Knowledge of Workplace Health and Safety (WH&S) practices and policies.
