The Placement Coordinator is responsible for the effective coordination and administration of clinical and non-clinical placements for non-medical, pre-registration learners and work experience participants across the organisation. The role ensures learners are appropriately inducted, supported, and able to access the clinical experiences, supervision, and systems required to meet professional and educational standards.
Working independently within clearly defined organisational policies, the post holder acts as a central point of contact for placement coordination, learner systems access, and placement-related information. The role involves close collaboration with clinical teams, Practice Educators, service managers, and education providers to plan placements, maintain capacity, and escalate any concerns that may impact learner experience, supervision, or patient safety.
The post holder maintains accurate and up-to-date records of learners, placements, supervisors, and assessors, supporting reporting requirements for education providers and external bodies as required. They contribute to the development and improvement of administrative systems and processes to support high-quality placement delivery and widening participation initiatives.
Main duties of the job
* Coordinate the clinical placements and experiences for pre registration non-medical healthcare learners, ensuring the required exposure to clinical experiences, and the opportunity to gain the skills necessary to become registered professionals upon completion of their programme.
* Coordinate work experience placements across the organisation, covering both clinical and non-clinical placement areas.
* Ensure all learners have the correct induction and access to digital systems as required for their placement.
* Escalate learner and placement concerns.
* Act as a point of contact for providing information on systems and processes to support adequate supervision of learners on placement.
* Maintain an accurate database of learners, placements, supervisors and assessors.

Education Qualifications and Training
Essential criteria
* GCSE (grade C/5 or above) in English and Maths or equivalent
* NVQ level 3/BTEC in administration/supervisory management or equivalent experience
* European Computer Driving License (ECDL) or similar
* Willingness to work towards a Level 4 qualification
Knowledge and Experience
Essential criteria
* At least two years’ experience in an administrative role within the last 3 years
* Experience of working with computer systems to include Microsoft Office, in particular Word, PowerPoint and Excel, in a working environment
* Experience of setting up and maintaining systems
* Experience of training staff on new systems
* Experience of working with staff at all levels
* Proven analytical skills and experience of managing, designing and provision of reports, forms and database systems

* Evidence of effective communication skills both written and oral
* Evidence of ability to respond to quickly changing priorities organising and prioritising own and team workload to meet deadlines
