The department The Accounts Payable Coordinator is responsible for all aspects of the Accounts Payable function, including, but not limited to, posting and paying supplier invoices, processing partner and employee expense claims and managing the corporate Amex account. The role Processing all accounts payable invoices via 3E/Chrome River Invoice, checking coding and approvals, identifying coding errors or missing information and pro-actively resolving these in a timely manner. Verifying and checking expense claims, ensuring VAT receipts are provided, in compliance with HMRC and other tax authorities guidelines and internal policies. Processing all client-chargeable professional fees in a timely manner to ensure they can be included on our invoices. Reviewing Chrome River dashboards and following up to ensure that expenses and invoices are processed promptly and input accurately. Processing all direct debit payments through 3E. Processing new vendors and liaising with the firm's risk and compliance team for approval. Processing taxi invoices, liaising with lawyers for appropriate matter numbers. Downloading telephone invoices each month and emailing partners and employees to identify client chargeable and personal entries. Reviewing debit balances on the AP ledger on a regular basis. Processing unpaid professional fees once billed and paid. Completing weekly payment runs for invoices, expenses, and Amex. Dealing with ad hoc queries received via AP London email inboxes. Dealing with ad hoc requests from firm management in a timely manner. Providing Amex compliance reports to Director of Finance. Qualifications and Skills The individual should be hard-working and enthusiastic, have a high level of initiative and a willingness to learn. They will be used to working for an international firm, multi-tasking and juggling deadlines from a number of key stakeholders simultaneously. Specific prerequisites include: Ability to communicate effectively with people at all levels and work as part of a team. Minimum of A-Levels or equivalent educational qualification. Excellent IT skills including Excel and 3E (or similar financial system). Self-motivated, highly organized, accurate and detail oriented. At least 1-2 years' experience in a similar role within a law firm or other professional services’ organisation.
