Overview
We are hiring for the new role of Head of Roastery Operations, resulting from the continuous growth of our business. This senior, hands-on role will oversee all aspects of roastery and logistics management. The post-holder will have excellent leadership and problem-solving skills and have working knowledge of coffee product requirements. You will have experience working with freight and logistics companies and be able to work and adapt to evolving processes and system developments.
Key Responsibilities:
Warehouse Operations:
* Manage receiving, warehousing, distribution, and order fulfilment for coffee products and equipment
* Oversee the preparation, packaging, and delivery of coffee, machinery and parts to clients and customers
* Implement efficient warehouse layouts and workflows for both consumables and equipment
* Efficiently manage and implement planning processes for periods of high volume, working collaboratively with other departments on product releases
* Tracking and optimising production turnarounds and ‘goods-in and goods-out’ processes, including new product launches
Inventory & Equipment Management:
* Maintain an accurate inventory of stock, machinery, and spare parts
* Track equipment status, returns, and outgoing machines for service or installation
* Ensure proper storage and handling of sensitive machinery and components
* Be the first point of contact for all release schedules, product developments and product executions from the brand team.
* Forecast and manage inventory supporting growth, balancing demand with stock availability.
* Oversee management of inventory of production and shipping consumables (e.g., tape, boxes, taste cards, stickers). Working with the Production Manager to set minimum stock levels and conduct weekly stock checks.
Logistics & Coordination:
* Coordinate delivery schedules and transportation logistics.
* Work with customer service and technical teams to fulfil machine installations and service requests.
* Prepare kits or shipments for field service technicians
* Cover local deliveries as needed, especially during peak periods, staff absence, or urgent service needs. Cover loading and unloading delivery vehicles, and interact professionally with customers upon delivery
* Maintain our customer service standards, ensuring every order meets brand, packaging, and ethical sourcing expectations.
Team Leadership:
* Effective and supportive leadership of the roastery, ensuring strong two-way communication, continuous improvement through feedback loops and accountability by identifying and tracking KPIs to measure team performance, efficiency, and operations.
* Work with the Head of People and Development to ensure appropriate training of all staff throughout the year
* Assign daily tasks, track performance, and promote a positive, safety-conscious work environment
* Ensure the roastery can effectively support an increase in production output while maintaining efficiency, quality, sustainability and excellent standards of customer care
Reporting & Systems:
* Use warehouse management software to track coffee, equipment, and parts
* Generate reports on inventory, order accuracy, and machine distribution
* Recommend process improvements to streamline fulfilment and reduce downtime
* Maintain HACCAP and compliance records, working closely with the Production Manager to ensure readiness for audits and adherence to best practices.
* Identify and implement opportunities to build upon and refine production processes. This includes developing automation and streamlining workflows to support business growth and increase order volumes.
* Prepare and present regular, detailed reports to the Co-Director
