To provide a comprehensive support service to Consultants and nursing teams within the Respiratory team. To work collaboratively with other medical secretarial colleagues to ensure clinical correspondence is produced and distributed within acceptable timescales. The post holder will carry out his/her duties in such a way as to make a direct and positive contribution to the organisation of the work. It is essential that the post holder should exercise initiative commensurate with the role and that confidentiality be maintained at all times.

To prioritise workload independently, identifying urgency, highlighting problems and taking appropriate action to prevent or solve problems without supervision.

In the absence of the Medical Secretary, participate in the outpatient booking process by coordinating clinic capacity and liaising with relevant departments. Dealing with cancellations to ensure full utilisation of available clinic slots to ensure adherence to National and Trust waiting times.

Main duties of the job

The post holder will provide administrative and clerical support to the Respiratory department. They will be responsible for typing clinical letters, processing referrals into the service, patient databases and co-ordinating communication between MDT members, patients and GPs.

The successful candidate will be required to contribute to the development of an expanding service by demonstrating a commitment, enthusiasm and passion for the delivery of high quality, patient focused care.

Excellent interpersonal and communication skills are necessary as the post holder will be expected to liaise and work closely with clinicians and other healthcare professionals from both primary and secondary care environments.

The post holder will be expected to work with the team to ensure that the pathways run effectively and meet local and national targets. They must communicate sensitively and effectively to patients and organise their own workload to ensure timescales are met and urgent work is prioritised.

The ability to work effectively as part of a multi- disciplinary team is necessary to ensure seamless, comprehensive care is provided for our respiratory patients.

The post holder should be flexible as service requirements may fluctuate.

Person specification

Qualifications & Education

Essential criteria

1. GCSE or equivalent in English and Maths - grade C or above

Desirable criteria

2. Typing and word processing skills to RSA II or equivalent
3. Business administration NVQ level 2 or equivalent experience in a clerical environment

Knowledge and Training

Essential criteria

4. Proficient in the use of Microsoft Office programmes (i.e. Word & Outlook, Excel and Electronic diaries). Proficient in developing and maintaining clinical database systems
5. Demonstrates an understanding of confidentiality and how to apply this in an administrative setting

Desirable criteria

6. Recent NHS experience and knowledge of Medical Terminology
7. Previous experience / knowledge of speciality and proficient in the use of PAS systems

Experience

Essential criteria

8. Proven experience of working in administration, producing accurate documents to a high standard of presentation
9. Able to work on own initiative and prioritise work load in order to meet deadlines
