General Responsibilities
To arrive at least 10 minutes early to prepare the office for the start of the session
First point of contact for customers, parents and visitors to the swim centre complex
Book swimming lessons for new and existing customers, process payments, ensuring data is accurately recorded and when necessary updated on CoursePro
Keep reception areas welcoming, tidy and up to date
When the Swimming Coordinator is unavailable, be responsible for direct public relations with all customers
Promoting and safeguarding the welfare of children and young people for whom you are responsible and with whom you come into contact with in the LTS Centre.
Answer telephones courteously for the Learn to Swim and Lettings Department, using initiative as required and forwarding messages and information as appropriate
Work closely with the Caretaker on duty and Lettings Department to ensure all facility bookings run smoothly.
Respond to enquiries from customers, parents and visitors in an efficient manner
Complete administrative tasks, enquiries, bookings and telephone communications. Ensure any enquiries you are unable to deal with are logged and passed to the Swimming Coordinator in a timely manner.
Make weekly calls and email communications to customers whose lessons have lapsed, take payments and rebook onto courses.
When the Swimming Coordinator is absent, you will be responsible for ensuring poolside has been cleared and all equipment is stored correctly before securing the office and leaving the premises.
When maintenance issues are discovered and reported, email the Estates team immediately to notify them.
Access the Learn to Swim email account to respond to enquiries, add new customers to waiting lists and forward email communications to the relevant department as required.
Be responsible for taking card payments, daily takings and cashing up
Promote Swim Shop sales and monitor stock, ensuring all products are available.
Carry out all other duties as directed be the Swim Coordinator or Community Facilities Manager.

To be aware of and comply with school policies and procedures (e.g. child protection, health and safety, data protection, confidentiality) and reporting concerns as appropriate.
