Personal Assitant / Executive Officer- Northern Ireland Audit Office
📍 Location: Belfast. Northern Ireland
🕒 Hours: Full-time, Monday to Friday
💰 Pay rate: £13,53 per hour
📅 Contract: Temporary
As the Personal Assistant / Executive Officer you will be confident in Minute taking and the use of MS Packages such as Excel, Outlook, and Word. You will be proficient in daily use of spreadsheets and databases and will conduct typing and word-processing duties as necessary.
ROLE PURPOSE: primarily diary/calendar management and email inbox monitoring and management to include dealing appropriately and promptly with correspondence and follow up for the senior leadership team.
MAIN DUTIES AND RESPONSIBILITIES
The Personal Assistant is responsible for providing an administrative support service to the full Senior Leadership Team comprising the Comptroller and Auditor General, Chief Operating Officer and 6 Directors.
The principal duties and responsibilities of the Personal Assistant will include:
1. Managing Diaries and arranging meetings.
2. Dealing with telephone calls, emails and correspondence promptly including appropriate follow up and redirection.
3. Providing administrative support to the Comptroller and Auditor General, Chief Operating Officer and 6 Directors as may be required including drafting response to correspondence and data collation
4. Taking minutes at various meetings.
5. Supporting events and meetings with setup arrangement and hospitality as required.
6. Full word processing, spreadsheet and database service.
7. Photocopying
8. Providing hospitability as appropriate
9. Maintaining and updating knowledge by identification of own training and development needs, updating skills and attending relevant training courses as agreed with manager.
The post holder will also be expected to demonstrate NIAO's commitment to the principles of equality, fairness and diversity in the way in which you deal with others
You should have:
10. A minimum of 5 GCSEs at grade C or above to include English Language.
11. At least one year's experience of personal assistant/executive assistant duties supporting senior management, gained within the last 5 years.
iii. Knowledge and practical experience of word processing, spreadsheets and databases; and
