Overview

New Court Surgery are advertising a reception team position. We are offering either one full-time post or two 20-hour-per-week roles. We reserve the right to close this vacancy early if we receive sufficient applications. Please submit your application as early as possible.

About the role

Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Receive, assist and direct patients to the appropriate service or healthcare professional in a courteous, efficient and effective manner. Undertake a variety of administrative duties to support the smooth running of the Practice, including clerical support to clinical staff and other team members. Facilitate effective communication between patients, the primary health care team, secondary care and other healthcare agencies.


Main duties

The duties and responsibilities may include any or all of the items below. Duties may vary under the direction of the Reception and Operations Team Leads depending on workload and staffing levels:

* Opening/locking up of the Surgery premises and maintaining security in accordance with Practice protocols.
* Maintaining and monitoring the Surgery’s appointments system.
* Processing telephone requests for appointments, visits and telephone consultations; directing callers to appropriate services.
* Taking accurate messages and passing on information as required.
* Maintaining and actioning electronic and paper documentation.
* Processing prescriptions in accordance with Practice guidelines.
* Initiating contact with and responding to requests from patients, team members and associated healthcare agencies and providers.
* Photocopying and scanning as required.
* Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions.
* Flexibility to work additional hours to cover unplanned colleague absence (essential).
* This list is not exhaustive; other reasonable tasks may be added by management as required.

You will participate in training and annual performance reviews, maintain records of development, and contribute to quality improvements within the Practice.

Recognise the importance of effective communication within the team and with patients and carers; use alternative communication methods as needed; apply Practice policies and participate in audits where appropriate.


Person Specification

Experience (Essential): Good standard of education with English and Maths at pass level or above; competent with Microsoft Office (Outlook, Excel, Word); experience in an office environment; experience handling telephone calls and dealing with the public/patients.

Experience (Desirable): Experience in Primary Care or a reception role; handling high call volumes; using medical computer systems.

Knowledge/Skills (Essential): Excellent computer and keyboard skills; excellent verbal and written communication; excellent interpersonal skills.

Knowledge/Skills (Desirable): Experience in a healthcare setting; knowledge of medical terminology.

Other (Essential): Flexible to cover for colleagues for unplanned absence.

Qualities and Attributes (Essential): Accurate with attention to detail; maintain confidentiality; good judgment, organised, proactive, patient-focused, a team player, able to adapt to change.
