Hours: Monday to Friday, 9:00am – 5:00pm (1-hour lunch break) | 40 hours per week

We are partnering with a world-renowned financial institution to recruit two dynamic and highly professional German-speaking Administrative Assistants to join their Global Banking & Markets Private division.
This is an exciting opportunity to work at the heart of a prestigious investment bank, supporting senior professionals and high-performing teams across Germany. You’ll play a vital role as a floating assistant, stepping in where support is most needed and ensuring seamless coverage across the division.
Full training and dedicated support from a Team Supervisor will be provided to set you up for success in this fast-paced, international environment.
What You’ll Be Doing
You’ll be part of a collaborative assistant team responsible for delivering first-class administrative support to senior associates and industry leaders. Duties include:

Complex diary and calendar management for senior bankers (VP level and above)
*
Scheduling and coordinating meetings and conference calls across multiple global time zones
*
Managing high volumes of communication – calls, emails, and updates with efficiency and discretion
*
Booking rooms and video conferences across international offices
*
Travel planning – booking flights, hotels, transport, and handling visa applications
*
Expense reports and invoice processing
*
Providing holiday and phone coverage for team members
*
General team support, handling ad hoc tasks and ensuring smooth day-to-day operations
What We’re Looking For
We’re seeking highly capable, polished professionals with:

Fluent German and English language skills (spoken and written)

2+ years of experience in an assistant or administrative support role, ideally within financial services
*
Expertise in Outlook and strong skills in calendar and logistics coordination
*
A proactive, solutions-focused mindset and the ability to manage competing priorities
*
A calm, professional demeanor with excellent communication skills at all levels
*
Strong attention to detail, confidentiality, and dependability
*
Adaptability and flexibility to work across teams and changing environments
