Overview

Lewisham CAMHS Mental Health Support Team (MHST) is a new early intervention, prevention and wellbeing promotion service designed to help meet the mental health needs of children and young people (CYP) in education settings. Our business administration and data management colleagues are a vital part of our service and the successful candidate will be part of an expanding team of dedicated professionals, supporting schools to improve mental health outcomes for children.


Responsibilities

* Provide business administrator support to the MHST Leadership Team and assist in the effective delivery of a comprehensive MHST service and support to Clinical Service Lead/Managers.
* Manage time effectively and deal with conflicting priorities in association with high‑level matters.
* Support MHST recruitment, ensuring the process is efficient, timely and meets the requirements for staff working with children and young people.
* Assist Clinical Service Leads with the E‑Rostering system for the MHST.
* Lead on service‑relevant projects delegated by the MHST Senior Leadership Team.
* Provide an excellent standard of customer care and administration support and act as the first point of contact for children and families, education settings, colleagues and external agencies for a range of MHST activity.
* Oversee communications to schools and colleges, disseminate information and updates and organize regular newsletters.
* Maintain the MHST web page and work alongside digital services to add and update developments.
* Oversee data analysis, quality assurance and routine reporting requirements.
* Maintain detailed awareness of Child and Adolescent services and answer queries from internal and external enquiries.
* Provide day‑to‑day operational support to clinical and professional leads, including diary management, administrative duties, taking minutes and managing action logs at senior meetings.
* Oversee the use of Electronic Patient Journey System (ePJS) and upload new referrals, monitoring performance to meet operating targets.
* Ensure financial matters are dealt with in accordance with the Trust’s Standing Financial Instructions (SFIs).
* Lead on or work closely with MHST on specific management projects and audits.
* Line‑manage the Band 4 senior business administrator for MHST and deputise as necessary for other members of the team.


Recruitment

1. Support with MHST recruitment including local induction for new staff and act as the interface for the service with Human Resources, ensuring efficiency and compliance.
2. Once a start date is agreed, liaise with the relevant line manager to ensure an induction programme is in place.


Training

1. Be a designated Fire Warden or First Aider within the Kaleidoscope Centre and attend meetings as required.
2. Participate in personal development and training programmes as agreed.


Staffing

1. Create and keep up‑to‑date the supervision and line‑management structures for the MHST, recording staff details, WTE, grade and checking against budgets.
2. Update and maintain absence information recorded on the E‑Rostering system on behalf of the MHST.


Financial Management

1. Make purchases or order equipment on behalf of senior staff via e‑Procurement or Digital Services.
2. Arrange payment of conferences, study days, etc. by completing paperwork on e‑Procurement.
3. Ensure all financial matters comply with the Trust’s Standing Financial Instructions (SFIs).


Project Management

1. Lead or work closely with the MHST on specific management projects and audits, as required.


Service Requirements

1. Have detailed knowledge and understanding of the work and services provided within the MHST and Lewisham CAMHS.
2. Review, improve, update and implement administrative systems with the admin and business manager.
3. Maintain awareness and knowledge of all Trust and Corporate Departments.
4. Act professionally, respecting children, young people and families, and keep information confidential.
5. Monitor and report on data relating to quality assurance for NHS England/ICS and internal use.
