Job overview
The post holder is part of the undergraduate medical education team at UHMBT, based in the education centre at Royal Lancaster Infirmary. This post involves providing administrative support to the undergraduate team at UHMBT in the planning and co‑ordination of specialty timetables and clinical assessments for medical learners across UHMBT. This will also involve arranging education meetings, taking minutes and maintaining general office processes to support the organisation and facilitation of undergraduate medical education at UHMBT.

Main duties of the job
* Providing administrative support to the undergraduate team in the planning and co‑ordination of specialty timetables and clinical assessments for medical learners across UHMBT.
* Monitoring mandatory training for medical learners and reporting non‑compliance to the undergraduate co‑ordinators.
* Carrying out general office duties.
* Organising inductions for new learners to the Trust.
* Issuing certificates of attendance and letters of thanks to clinical teachers.
* Organising educational appraisals for medical educators and keeping appropriate records.
* Updating central documents accessed by the undergraduate team and partner medical schools.
* Taking part in the facilitation of medical student practical examinations.
* Maintaining the undergraduate medical education intranet and internet sites ensuring they are kept up to date with key information.
* Ensuring that rooms are booked for undergraduate teaching with appropriate equipment and resources.
* Providing administrative support to the undergraduate co‑ordinators in arranging students smartcards, Lorenzo accounts, IT accounts and access to updated Training information on the Trust’s Training Management System (TMS), escalating any issues as appropriate.
* Communicating using various face‑to‑face and electronic means.
* Contributing to newsletters, publications and social media updates relevant to each year group.
Working for our organisation
We operate from three main hospitals – Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal – as well as a number of community healthcare premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre.
FGH and the RLI have a range of General Hospital services, with full Emergency Departments, Critical/Coronary Care units and various Consultant‑led services.
WGH provides a range of General Hospital services, together with an Urgent Treatment Centre, that can help with a range of non‑life‑threatening conditions such as broken bones and minor illnesses.
All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, day‑case and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay.
Our Community Service for adults is provided in people’s homes, community centres, clinics, GP Practices, community hospitals. Our aim is to work with people to help them remain independent, improve their health and manage their conditions through high quality care, advice and support.

Experience
* At least 12 months experience in an secretarial / administrative role.
* Experience of an education, training or health environment.
Knowledge and skills
* Working knowledge of Microsoft Office 365 and its applications.
* Demonstrable building and maintaining working relationships.
* Demonstrable dealing with difficult situations.
* Ability to operate audio visual equipment.
