The role
An exciting opportunity has arisen within the Glasgow & Clyde Anticoagulation Service for a Team Lead to provide day‑to‑day supervision and support to clerical staff, ensuring efficient and comprehensive administrative services for Senior Charge Nurses.
The Glasgow & Clyde Anticoagulation Service delivers assessment and treatment for patients on Warfarin therapy across hospital, community, and domiciliary settings. In this fast‑paced environment, the post holder will play a key role in coordinating clerical functions, including managing patient appointments on the DAWN AC system, issuing appointment and DNA correspondence, preparing clinic lists, handling internal referrals from Trakcare, and responding to telephone enquiries within required timescales. The role also includes ensuring all clinic documentation and new patient information is available through effective liaison with hospital wards, and keeping nursing staff informed of any urgent issues.
This position requires excellent organisational skills, the ability to prioritise workload, and strong communication to support smooth clinical service delivery across multiple sites.
Duration, Location, and Working Pattern
* Location based in Glasgow Royal Infirmary
* Permanent Contract
* Full-time contract (37 hours per week)
* Shift Pattern for this post are Monday to Friday, 09:00 to 17:00
Key responsibilities
* Provide a high quality clerical support and able to work as part of a team to ensure efficiency of anticoagulation service.
* To supervise and motivate clerical staff based within the service, providing adequate cover.
* Manage sickness and absence including sickness absence records and return to work interviews.
* Able to cope with the high volume of telephone calls in a polite efficient manner.
* Responsible for printing off reports from DAWN AC system as required.
* Relaying information to referrers, both internal and external.
* Responsible for ensuring adequate stationery stock and computer supplies available in work area.
Knowledge, training, qualifications and/or experience required to do the job
* Good educational background.
* Competent use of telephone systems
* Accurate and quick typing skills.
* Understanding of medical terminology.
* Good organisational and communication skills.
* Commitment.
* Proficient in use of Software systems.
