Fleet Operations Coordinator - Reporting & Analysis
Location: London
Full-time | Permanent | Hybrid | £40,000 - £45,000
About the Role
We are looking for a detail-oriented and highly organised Fleet Operations Coordinator to support the effective running of fleet operations through data management, reporting, and administrative coordination.
This is a key support role within the fleet team, focused on ensuring accurate reporting, financial tracking, and operational data management, while working closely with Technical and Marine Superintendents.
This position is ideal for someone with strong Excel, reporting, or administrative experience who is looking to build a career within the maritime or operations sector.
Key Responsibilities
Data, Reporting & Analysis (Core Focus)
- Maintain and manage fleet operational data, KPIs, and performance reports
- Extract, analyse, and present data using Excel and internal systems
- Prepare regular reports and presentations for internal stakeholders, owners, and charterers
- Support monthly reporting cycles and performance tracking
Financial & Administrative Support
- Assist with disbursement accounts and cost tracking
- Support budgeting processes and financial reporting activities
- Ensure accuracy and consistency across financial and operational data
- Work closely with finance teams on reporting and reconciliation tasks
Compliance & Documentation
- Maintain fleet records, certification tracking, and documentation
- Support audit and inspection processes
- Ensure records are up to date and aligned with company procedures
Operational Coordination
- Support the organisation of fleet meetings and vessel calls
- Coordinate communication across technical, marine, and support teams
- Track actions and follow up on key operational tasks
- Provide general administrative support to the fleet team
About You

- Strong attention to detail and high level of accuracy
- Confident working with data, reports, and spreadsheets
- Good organisational and time management skills
- Clear and professional communication skills
- Proactive approach with a willingness to learn
Experience & Background
- Previous experience in an administrative, reporting, finance, or operations support role
- Strong proficiency in Microsoft Excel (data handling, reporting, analysis)
- Experience in shipping, logistics, or technical environments (desirable but not essential)
