Personal Assistant
Location: Nottingham (4–5 days per week onsite)
Contract: 6-Month initital Contract via Umbrella
Hours: Full-Time, Monday–Friday
Overview
We’re seeking an experienced and highly organised Personal Assistant to provide professional support to three senior HR Directors within the People Leadership team at a large British retailer.
This is a key role enabling the directors to focus on delivering strategic priorities by ensuring seamless coordination, proactive problem-solving, and effective day-to-day management. The ideal candidate will be confident, adaptable, and capable of anticipating needs in a fast-paced, dynamic environment.
You’ll also join a strong and collaborative PA community, sharing best practices and working together to deliver excellent support across the organisation.
Key Responsibilities
* Diary & Meeting Management: Efficiently manage complex and demanding calendars, balancing multiple priorities and adapting swiftly to changes.
* Meeting Coordination: Schedule, prepare agendas, circulate materials, and capture actions for key leadership and functional meetings.
* Stakeholder Liaison: Act as the first point of contact for internal and external stakeholders, handling all communication with professionalism, discretion, and sound judgement.
* Travel & Expenses: Coordinate travel, accommodation, and expense management accurately and on time.
* Confidential HR Support: Assist with sensitive people-related processes (e.g. performance, payroll, organisational changes) with absolute confidentiality.
* Systems & Administration: Support HR administrative processes such as onboarding, leavers, salary or contract changes, and maintaining accurate employee records.
* General Administration: Maintain distribution lists, organisational charts, and digital filing systems; assist with basic IT troubleshooting and liaise with IT support as required.
* Collaboration & Cover: Work closely with the wider PA network to ensure seamless coverage and consistent support across the business.

* Previous PA or EA experience in a fast-paced environment is essential; experience supporting multiple senior leaders is highly desirable.
