Role Overview
We are seeking a highly organised and proactive Office & Logistics Assistant to support the delivery of a major nuclear and civils infrastructure project in Whitehaven. This is a key support role within a highly regulated environment, providing administrative, logistical, and coordination support to ensure smooth day‑to‑day project operations.
The role requires excellent attention to detail, strong communication skills, and the ability to work to strict security, safety, and compliance standards typical of a nuclear site.
Key Responsibilities
Office & Administrative Support
Provide day‑to‑day administrative support to the project management, logistics, and site teams
Manage correspondence, document control, and filing in line with nuclear compliance and information security requirements
Maintain accurate records, trackers, and databases (including personnel, logistics, and site documentation)
Support meeting coordination, including scheduling, minutes, and action tracking
Assist with induction paperwork, onboarding documentation, and compliance records
Logistics & Site Coordination
Support logistics planning and coordination for materials, equipment, and site resources
Liaise with suppliers, subcontractors, and internal teams to support deliveries and site access
Assist with booking, tracking, and reconciling deliveries in accordance with site procedures
Support the logistics and security teams with reporting and documentation
Ensure all logistics activities align with site safety, security, and nuclear regulatory requirements
Compliance, Safety & Security
Work in accordance with nuclear site rules, security protocols, and HSE requirements
Ensure documentation and processes comply with project, client, and regulatory standards
Maintain confidentiality and handle sensitive information appropriately at all times
Support audits, inspections, and compliance checks as required
Skills & Experience
Essential
Previous experience in an office, administration, or logistics support role
Strong organisational skills and ability to manage multiple tasks simultaneously
High level of accuracy and attention to detail
Confident using Microsoft Office (Word, Excel, Outlook, SharePoint or similar systems)
Excellent communication skills, both written and verbal
Ability to work effectively in a structured, regulated environment
Eligibility for UK security clearance (BPSS minimum)
Desirable
Experience working on construction, civils, infrastructure, or nuclear projects
Familiarity with document control systems or site‑based administration
Understanding of logistics processes within a construction or industrial environment
Previous experience in a safety‑critical or highly regulated industry

Security Requirement
Security Clearance Required (BPSS as a minimum, with the ability to progress to higher clearance if required)
