We’re looking for an experienced PA to support our multi-award winning CEO and Board of Directors in Middlesbrough (UK), home to the beautiful North Yorkshire coastline and countryside. Recently we announced Boho X as our new headquarters positioned in the heart of Middlesbrough. This move marks the start of a new chapter in our company’s 15-year history.
With our UK and Kuala Lumpur teams rapidly growing from 100 to nearly 400 employees over the past three years, we’re evolving fast and so this newly created position will play a pivotal role to Double Eleven’s success, ensuring the CEO and Board of Directors can continue to drive the business forward.
Reporting to the Board, you’ll be managing multi-priority tasks and schedules, coordinating important internal and external meetings and handling confidential correspondence. As a master multitasker, trusted gatekeeper and quick thinking problem solver, you’ll be comfortable working with ambiguity, complexity and pace to achieve positive outcomes.
This is a permanent, full time opportunity; 35 hours per week with mostly regular working hours expected.
Some on-call / out of hours work may be required when necessary as well as UK and international travel. We’re happy to consider a hybrid working arrangement for this position (3 days at the office and 2 days working from home).

What you’ll be doing
First Class Executive Support
* Efficiently manage the CEO's calendar, scheduling appointments, coordinating meetings and ensure all commitments are prioritised effectively
* Provide personal assistance to the CEO when requested, including managing personal appointments, errands and other ad hoc tasks
* Provide administrative support to the CEO and Board of Directors as required, including conducting research, preparing presentations and assisting with projects and ad hoc requests
Expert Time and Task Management
* Adeptly manage various forms of communication, such as emails, phone calls and other correspondence with utmost professionalism and discretion
* Provide high-level administrative support to the CEO and other members of the executive team including syncing schedules, organising meetings, handling correspondence and drafting reports as required
* Help to coordinate internal and external meetings, including logistics, agenda preparation and distribution of relevant materials. Take accurate meeting minutes and follow up on action items
Communication Champion
* Work with our UK & KL Operations teams to help coordinate travel arrangements, including flight bookings, hotel accommodations, ground transportation and visa arrangements, ensuring seamless travel experiences for the CEO and the Board of Directors
* Help to coordinate internal and external meetings, including logistics, agenda preparation and distribution of relevant materials. Take accurate meeting minutes and follow up on action items
* Build and maintain strong relationships with key internal and external stakeholders, facilitating effective communication and collaboration with the business
* Provide administrative support to the CEO and the Board of Directors as required, including conducting research, preparing presentations and assisting with projects and ad hoc requests
* You'll prepare for and welcome visitors to the executive team ensuring that all hospitality requirements are in place
What we’re looking for
First Class Executive Support
* Proven experience as a Personal Assistant directly supporting a CEO preferably in a fast-paced and unpredictable or creative environment
* Proven ability to maintain confidentiality and handle sensitive information with discretion and keep calm under pressure
* Proactive and resourceful problem-solving skills, with the ability to anticipate needs and find solutions
Expert Time and Task Management
* Flexible and thorough approach to work with the tenacity and strong execution skills to follow tasks and projects through to completion and/or a positive resolution
* Ability to forward plan and manage a complex and busy diary
* Meticulous attention to detail
* Proven excellent time and management skills as well as experience prioritising competing high priority, time sensitive tasks
* Proficient in using productivity tools and software, such as Microsoft Office Suite, Google Suite and calendar management systems
Communication Champion
* Ability to convey information to people clearly and simply
* A proactive listener, who can interpret need and prioritise level of request or query
* Excellent interpersonal skills, with the ability to build relationships and collaborate effectively with individuals at all levels of the company and with external stakeholders
