We have a Central Support team of around 50 people that are based in our Leeds head office, and are looking to recruit an experienced Office Manager.
About The Role
This is a critical role for Central Support so we are looking for somebody who is enthusiastic and who doesn't mind wearing multiple hats. The successful candidate will be able to shape the role and make it their own.
The ideal person will be experienced in handling a wide range of administrative and executive support related tasks and who will have a mindset and confidence to implement better and more modern ways of working without seeking permission.
There is lots to do and so we need our Office Manager to be proactive, confident, engaging, a self‑starter and passionate about making a difference.
Responsibilities
* Manage reception and ensure a great first impression.
* Assist the CEO and team with diaries, travel, meetings, and paperwork.
* Use software to ensure efficient office operations.
* Manage online and paper filing systems looking at a transition to paperless filing systems.
* Develop and implement new administrative systems.
* Manage office budget and expenditure.
* Organise office layout and maintain supplies.
* Support office refurbishments and repairs.
* Ensure compliance with data protection laws and supplier standards.
* Arrange testing for electrical equipment and safety devices.
* Organise meetings, events, and travel arrangements.
* Update CRM with new customer enquiries.
* Manage office security and petty cash.
* Provide cover for Export Administrator and other roles as needed.
* Act as fire warden and organise office competitions and fundraising.
* Sourcing and Booking company events such as summer and Christmas parties
* Arranging travel for leadership team when required
* Locking up the building - as a key holder when also required
* Run reports and create rotas for clinical vets - Reconcile the monthly invoice to ensure all clinics are listed/charged.
Qualifications
* Proven office management or administrative experience.
* Knowledge of office management systems and procedures.
* Excellent time management, communication, and organisational skills.
* Proficient in MS Office and office software packages.
* Knowledge of accounting, data management, and HR practices.
* Initiative - ability to identify and take ownership of issues/sub‑optimal ways of working, devise and implement solutions
* Excellent Communication Skills - ability to liaise confidently with a variety of stakeholders including the Board.
* Accessible and Friendly - able to win people over and change behaviours in order to improve ways of working and ensure high levels of professional standards are maintained in the office.
* Bold and creative to make changes - the confidence to challenge current practice.
