Areyou an organised, compassionate administrator who wants to play a meaningfulrole in improving peoples mental health?

Anexciting opportunity has arisen to join the TalkPlus NHS Talking Therapiesservice as an Administrator. You will play a key role in supporting patientsexperiencing anxiety and depression by ensuring referrals, appointments andenquiries are managed efficiently and sensitively.

Main duties of the job

* Tomaintain a range of administrative systems for the TalkPlus NHS TalkingTherapies service.
* Responsiblefor preparing and collating patient referrals, inputting patient referrals ontothe patient management system promptly, ready for screening.
* Processinformation received via TalkPlus inbox, including receiving and chasingpatient information, referrals, opt-ins, and ad-hoc patient information.
* Assistwith telephone enquiries by answering the calls promptly and directing callsand taking messages.
* Tocontribute to ensuring the requirements for internal and external monitoringand evaluation are met.
* Producethe correct letters and documents on the patient management system and sendthem promptly.
* Provideadministrative support to the TalkPlus team members as required.
* Monitorthe discharge procedure by discharging people who have not engaged.
* Sometimesexperiencing/dealing with difficult/upsetting situations.


About us

NHUC is a not-for-profit Community Benefit Society, working in partnership with the NHS. NHUC provides services through two divisions, Same Day Care (SDC) and TalkPlus.

SDC provides services through the Integrated Urgent Care (IUC) contract which covers the in Hours Clinical Assessment Service (CAS) and Out of Hours (OOH) provision for North Hampshire, North East Hampshire and Farnham & Surrey Heath places which are part of the Hampshire and the Isle of Wight ICB and Surrey & Sussex ICB respectively. We also provide an Urgent Treatment Centre at the front door of Frimley Park Hospital whilst also holding some smaller contacts supporting Community Hospitals OOH and Flu response. Finally, SDC has a virtual care arm supporting patients at home.

TalkPlus provide NHS Talking Therapies, supporting people with common mental health problems in Northeast Hampshire and Farnham place. TalkPlus offers a range of treatments to people who are experiencing symptoms of stress, anxiety, low mood, depression, panic, phobias or OCD. TalkPlus has care pathways to provide timely treatment for perinatal and military veteran referrals.

Job responsibilities

Job Title: TalkPlusAdministrator

Responsible to: OperationsManager

Accountable to: Head ofService Operations

Hours: 15hours per week (Days/Shifts to be agreed before appointment, may include onelate shift working until 8pm

Role Summary:

TalkPlus,a division of North Hampshire Urgent Care (NHUC), is working with HIOW andSurrey and Sussex ICBs to provide the NHS Talking Therapy for Anxiety andDepression services within Farnborough, Aldershot, Yateley, Fleet, and Farnham.The service has been live since the start of November 2010 and deliversevidence-based Cognitive Behavioral Therapy (CBT) and a range of otherNICE-approved treatments to people with common mental health problems,including depression and anxiety. TalkPlus is fully committed to equality anddiversity and encourages applications from all sections of the community,including users of mental health services.

Thepost holder will be a member of the TalkPlus NHS Talking Therapiesadministrative team.


Administration

* Completeback of house Admin daily checklist, including:
* Highlightrisk referrals to Duty and maintain red flag tracker.
* Allregular SMS/Contact for patients on waiting lists (e.g., 28-day text)
* VeteransLetters
* Reviewteam tracker
* Checkno-reply inbox
* DIPS
* Chase/Checkread receipts.
* MonitorTalkPlus inbox for back-of-house support
* MonitorTalkPlus Admin Teams chat for support required
* Keeppatient information updated using the IAPTus System.
* Maintaindiaries of therapists, such as cancelled/rescheduled appointments.
* Supportthe Admin manager with ad-hoc back-of-house functions or audits.
* Pickup voicemails promptly and take action by passing messages on or processingthem.
* Facilitatecourses by helping course leaders with admin, also prepare information forcourses such as, handouts and paperwork.
* Maintainfiling systems in accordance with systems and procedures.
* Keeppatient information updated using the IAPTus System.
* Book/fillall available appointments.
* Keepup to date with relevant policies and procedures and undertake appropriatetraining.


In Office Duties and reception cover:

* Tooperate and manage the reception/meet and greet, letting people into thedepartment and showing them to the correct areas.
* Maintaina library of reference material relating to NHS Talking Therapies.
* Checkand maintain stationery supplies, including leaflets & documents.
* Checkand maintain refreshment supplies.
* Usephotocopier and other office machines as appropriate, Inc. shredding/scanning.
* Facilitatecourses by helping course leaders greet patients and prepare course handouts
* Completereception late cover specific duties on the Admin Daily Checklist.
* Ensurecover is arranged for reception.
* Ensurereception and waiting area are always kept clean and tidy, this includesswitching the radio on at the beginning and off at the end of the day, wateringplants, removing old leaflets, and adding new ones to the notice board.
* Helpmaintain the Master Rooms Booking System (MRBS)
* Notifythe Administration Manager and Operations Manager promptly if anything needsfixing or investigating.


General

* Tocontribute to the ongoing development of the service and to best practice.
* Workwithin NHUC and TalkPlus policies and procedures.

Person Specification


Knowledge, Communications, Interpersonal and Personal Skills

* Proficient in using standard office software (e.g., Microsoft Office, email, databases) and role-specific systems or platforms.
* Flexible in approach to the needs of the service and responsive to change
* Understands and supports principles of equality, diversity, and inclusion in the workplace.
* Self-motivated, able to work independently, organising and prioritising own workload to changing and often tight deadlines
* Ability to work under pressure and manage own personal stress.

Experience

* Previous administrative experience
* Experience of working in a busy office environment
* Experience of working with a range of colleagues
* Experience of working within the NHS


Qualifications

* Good standard of education (GCSE or equivalent in Maths and English at Grade C/4 and above).
