Cwm Taf Morgannwg University Health Board recognises the importance of the Alcohol Care Team in achieving better health outcomes for patients. This post is funded by the Area Planning Board following a successful Business Case submission.

This is an exciting opportunity to join a new Community Alcohol Care Team, working closely with the hospital Alcohol Care Team as a valuable member of this growing team in an administrative role. If you are interested in working with patients with alcohol disorders and their treatment, we would like to hear from you.

Every day will present new challenges, and we are seeking someone passionate about improving the lives of patients with alcohol disorders.

The Administrative Assistant will provide an effective administrative service to support the efficient operation of the Alcohol Liaison teams. The role requires portraying a positive image and liaising professionally with patients and colleagues.

The post holder will need to plan and prioritise their workload, ensuring systems are in place to meet deadlines for Cwm Taf Morgannwg University Health Board. They will work independently, managing their own tasks rather than being closely supervised.

1. Undertake reception duties, acting as the first point of contact for the Community Alcohol Care Team. Responsibilities include booking patients, answering phones, dealing with relatives and visitors, filing, and conveying messages.
2. Plan and prioritise workload, using initiative for routine tasks.
3. Seek support from the Team Leader when necessary.
4. Retrieve and prepare patient case notes using manual and computerised systems like Welsh Patient Administration Service (Myrddin) and Case Note Tracking.
5. Handle interactions with patients, parents, and relatives sympathetically and compassionately, especially when they are distressed or anxious.
6. Perform filing duties as assigned, ensuring the security of stored information.
7. Liaise with internal departments and external organisations such as GPs and hospital services to resolve patient queries and appointment issues.
8. Maintain adequate stock of office supplies for the department.

This is a fixed-term/secondment position for 12 months due to funding. Applicants for secondment should obtain permission from their current line manager prior to applying.

Welsh language skills are desirable but not essential. Basic speaking and listening skills at Level 3 (CEFR B2) or above are preferred, which include basic conversations about health with patients.

The salary reflects the NHS Agenda for Change pay award for 2025/2026, effective August 2025, with arrears from April 2025.
