Meliora Dental is a modern private dental practice with a strong focus on clinical excellence, patient experience, and operational maturity. As the practice continues to grow, we are seeking an experienced Practice Manager to lead day-to-day operations, ensure regulatory excellence, and support a high-performing clinical and non-clinical team.
This is a senior leadership role with genuine influence over how the practice operates, evolves, and scales.
Role Summary
The Practice Manager is responsible for the overall operational, compliance, people, and patient- experience performance of the practice.
Working in close partnership with the Principal Dentist, you will ensure the practice is:
* Fully compliant and inspection-ready at all times
* Professionally managed with clear systems and standards
* Operationally efficient and patient-centred
* Supported by a well-organised, engaged, and effectively deployed team
Key Responsibilities
1. Compliance & Regulatory Leadership
* Ensure full and ongoing compliance with CQC, Health & Safety, and relevant dental regulations
* Maintain constant inspection readiness, including documentation, evidence, and audit trails
* Oversee all required Policies, Procedures, SOPs and Compliance systems and records
* Lead preparation for and responses to inspections, audits, and regulatory correspondence
* Manage risk assessments, incident reporting, and corrective action plans
* Ensure compliance frameworks (e.g. Dentistry Compliance) are embedded into daily operations
2. Clinical Team Rotas & Non-Clinical Team Management
* Own and manage clinical staff rotas, including: Dentists, Dental nurses, Hygienists and therapists
* Ensure appropriate staffing levels, skill mix, and nurse cover per surgery
* Coordinate annual leave, sickness cover, locum arrangements, and training time
* Act as day-to-day non-clinical line manager for clinical support staff (e.g. dental nurses),including: Attendance and punctuality, Conduct and professionalism, Performance conversations (non-clinical) and Induction, probation, and appraisals
* Work closely with the Principal Dentist on: Clinical governance, Standards implementation, Escalation of any clinical concerns
3. People Management & HR
* Lead all non-clinical HR processes, including:
* Recruitment and onboarding
* Induction and mandatory training coordination
* CPD tracking and compliance
* Performance management and reviews
* Absence, conduct, and capability management
* Maintain accurate, compliant employee records
* Ensure HR systems (e.g. BrightHR) are used consistently and effectively
* Support staff engagement, wellbeing, and a positive team culture
4. Operational Management & Practice Standards
* Oversee the smooth day-to-day running of the practice
* Establish, document, and maintain SOPs across:
* Patient journey and front-of-house
* Reception and administration
* Clinical support operations
* Stock control and supplier management
* Laboratory invoicing and cost control
* Ensure consistently high operational and service standards
* Identify and implement operational improvements
5. Patient Experience & Commercial Support
* Champion an excellent end-to-end patient experience
* Support initiatives to improve:
* Patient engagement and retention
* Practice utilisation and non-clinical revenue performance
* Work collaboratively with clinicians and advisors to implement agreed improvements
* Monitor key operational and patient KPIs
6. Leadership & Continuous Improvement
* Act as a trusted operational partner to the Principal Dentist
* Proactively identify risks, gaps, and improvement opportunities
* Embed sustainable, scalable ways of working
* Lead by example, promoting professionalism, accountability, and consistency
About You
Essential
* A strong track record in dental practice operations, either as a Practice Manager or in a senior administrative role
* Strong working knowledge of CQC requirementsand dental compliance
* Experience managing clinical team rotas and staffing
* Confidence managing people and HR processes in a regulated environment
* Highly organised, detail-oriented, and calm under pressure
* Excellent communication and leadership skills
Desirable
* Experience in a mixed (NHS & Private) dental practice
* Familiarity with Dentistry Compliance, BrightHR, or similar systems
* Experience supporting practice growth or transformation
