Job Summary
We have a fantastic opportunity for an enthusiastic, well‑organised and self‑motivated individual to join Cumbria Health, supporting our six GP practices. The role involves a mix of secretarial and coding duties, requiring strong IT skills, excellent attention to detail and the ability to work calmly in a fast‑paced environment.
Key Details
Hours: 30 / 37.5 hours per week with the option of 4 or 5 days.
Location: Cumbria Health headquarters, Carlisle.
Closing Date: 17 November 2025 (applications may close earlier if filled).
Salary: £19,099 to £23,874 per year, depending on experience.

Responsibilities
* Culling and sorting patient records and letters in preparation for summarising.
* Reviewing medical records and producing accurate summaries of patient histories.
* Using SNOMED coding within EMIS (or GP2GP) to record information from paper records into the clinical system.
* Auditing data collection standards.
* Filing patient records and correspondence securely.
* Ensuring correspondence, reports and results are filed correctly.
* Maintaining filing and administrative systems for easy access and security.
* Retrieving records and assisting with medical/insurance documentation and invoicing.
* Managing online enquiries and CH out‑of‑hours reports, directing them to the correct department within required timeframes.
* Coding incoming mail accurately so that information supports continuity of care.
* Identifying actions from incoming mail and tasking the relevant person in each practice.
* Picking up items to be coded to secure quality initiative payments.
* Handling incoming and outgoing telephone calls, taking messages and dealing with queries.
* Navigating private work for firearms licences, medical letters, HGV licences, etc.
* Facilitating SAR processing.
* Assisting with medical records tasks requested by the wider practice team.
* Processing online patient requests via Digital Assessment Service (DAS) and answering website submission form queries.
* Maintaining the clinic system accurately and securely.
* Assisting with gathering statistics and information when required.
* Providing support to the Administration and Coding Team Hub.
* Identifying priorities for each practice’s workload.
* Processing advice and guidance requests.
* Adopting any additional duties appropriate to the post as required.
Qualifications & Experience
Essential
* GCSE English Language and Mathematics (Grade C or above) or equivalent.
* Excellent customer service skills.
* Experience dealing with the public.
* Excellent administrative and organisational skills.
* Computer literacy with keyboard proficiency.
* Working knowledge of Microsoft Office applications.
* Attention to accuracy and detail consistently.
* Strong written and verbal communication skills.
* Ability to work well as part of a team and independently.
* Ability to prioritise workload and work under pressure.
* Enthusiastic and committed to personal development.
* Clean driving licence and access to a vehicle.
Desirable
* GP practice or medical coding experience.
* Knowledge of medical terminology.
* Experience using NHS computer systems.
* Understanding of health & safety and safeguarding procedures.
* Knowledge of the healthcare sector.
* RSA II or equivalent in typing or word processing.
* Clinical coding qualification.
* Understanding of safeguarding procedures.

Additional Information
The role requires a Disclosure and Barring Service check and a submission under the Rehabilitation of Offenders Act (Exceptions Order) 1975.
