About the role


The role holder will be a highly organised and proactive Personal Assistant (PA) and provide comprehensive administrative and executive support to the Chair of the Board, Non-Executive Directors (NEDs), and members of the Executive Team.


Core responsibilities will include maintaining and managing diaries, travel management, and assisting stakeholders with various administration requirements.


The role also will assist with the coordination and delivery of internal and external events, some of which may require occasional work outside standard office hours.


The ideal candidate for the role will have:


* Previous experience in a PA role is desirable, but not essential.
* Excellent communication skills (written and verbal) with attention to detail and discretion.
* Ability to manage multiple tasks simultaneously, prioritise and deliver within tight deadlines and to work on own initiative.
* Experience of managing private, confidential and sensitive information.
* Exceptional and proven organisational, problem-solving, and administrative skills.
* Confident in working with senior stakeholders, including Board members and Executives
* Demonstrates clear use of own initiative and ability to lead and manage core responsibilities with a well-developed sense of when to escalate and flag issues.
* Good Microsoft Office skills (including Outlook / Excel / PowerPoint / Word)
* Ability to research, digest, analyse and present material clearly and concisely.
* Positive can-do attitude, strong interpersonal and diplomacy skills.
* Have a hands-on approach, thinking out of the box and finding solutions.
* Some flexibility around contracted working hours and responsibilities may be required as business priorities demand, including events.
* Discretion and an understanding of confidentiality, data protection, and protocol in dealing with senior leaders.


Main responsibilities / key duties:


Executive and Board Support:


* Provide high-level administrative and diary management support to the Chair, NEDs, and Executive Team members.
* Schedule and coordinate meetings, including Board and Committee meetings, briefings, and external engagements.
* Prepare, format, and distribute agendas, papers, and minutes as required, ensuring confidentiality and accuracy.
* Manage travel arrangements, accommodation, and itineraries for the Chair, NEDs, and Executive Team.
* Serve as a point of contact between senior leaders and internal/external stakeholders.
* Support and cover for EA and reception when required.


Administrative Duties:


* Maintain accurate records, contact databases, and filing systems.
* Track key actions and deadlines, following up as necessary to ensure timely completion.
* Process expense claims within organisational procedures.
* Support the effective coordination of senior leadership team activities.
* Ad hoc responsibilities in keeping with the role-holder’s experience and skills as agreed and approved.


Event Support:


* Assist in the planning and delivery of internal and external events, such as Board away days, leadership forums, stakeholder receptions, and other functions.
* Liaise with venues, suppliers, and participants to ensure event logistics are professionally managed.
* Provide on-site support at events, including outside of standard working hours where required.
