Job Overview
We are recruiting for an Executive Assistant to support our C‑suite executives (CEO, CFO, CTO) at our head office in Whitley, Yorkshire. This hybrid role requires flexibility and availability in the office as and when the CEO is onsite.
Key Responsibilities
* Provide high‑level proactive administrative support to C‑suite executives.
* Maintain and manage executives’ calendars, schedule appointments, meetings, and conferences.
* Coordinate with internal and external stakeholders to prioritise, plan, and schedule meetings.
* Plan, set up and coordinate executive meetings, board meetings, company events, workshops, including agendas, logistics, and support during events.
* Make travel arrangements (flights, accommodation, ground transportation, visas) in line with group policies.
* Prepare detailed itineraries and ensure executives have all necessary documents for travel.
* Prepare meeting agendas, presentations, and necessary materials.
* Handle company credit card usage and expense reports, ensuring timely reconciliation.
* Draft and review correspondence, internal communications, emails, reports, presentations.
* Prioritise and escalated urgent matters to ensure timely response.
* Meet visitors and prepare meeting rooms to deliver an excellent experience.
* Attend meetings, take minutes, distribute to relevant parties, and follow up on action items.
* Handle sensitive and confidential information with discretion.
* Manage electronic and physical files, documents, and records.
* Conduct research, gather data, and prepare reports and presentations as requested.
* Track progress, gather updates, and report on project status.
* Build and maintain positive relationships with internal and external stakeholders.
Key Skills and Experience
* Proven experience as an Executive Assistant to C‑suite members within an international business.
* Excellent organisational, planning, and time‑management skills.
* Experience arranging company meetings, conferences, workshops on behalf of the executive.
* Strong written and verbal communication skills, and ability to communicate effectively at all levels.
* Proactive approach, able to identify conflicts early and resolve them timely.
* Advanced computer skills (Microsoft Office Suite, SharePoint).
* High attention to detail and accuracy.
* Ability to work independently with minimal supervision, and to meet tight timescales.
* Flexible and adaptable approach to work.
* Positive attitude and willingness to take on new tasks.
